Trade Show Support Specialist
3+months
Must Haves:
*2+ years Trade show assistant experience (or at least BIG event planning/coordinating experience
*Highly organized
*Comfortable navigating through systems like Word, Excel, PowerPoint, Outlook, Teams
*Self-starter who anticipates needs, is solutions-focused, attentive to detail and thinks two steps ahead
*High school diploma or equivalent
Preferred:
*Project Management skills (methodology of how to manage a project)
*Experience with sales/marketing coordination or ad agency exposure
Job Summary:
We are seeking a detail-oriented and organized Trade Show Administrative Assistant to support the planning and execution of trade show events. The ideal candidate will communicate directly with our creative agency partner and manager to assist in coordinating logistics, managing schedules, and handling communications to ensure successful trade show execution.
Key Responsibilities:
- Assist with the planning and organization of trade show events by managing administrative tasks with our creative agency who is responsible for the creation of the booth.
- Must manage the project plan to confirm tasks are completed and expected to follow up with task owners to ensure completion of assigned tasks.
- Coordinate travel arrangements, accommodation, and schedules for team members.
- Order trade show materials, including promotional items and documentation as directed.
- Manage communication with vendors, exhibitors, and internal teams. Drive task completion and accountability.
- Track expenses and assist in budget management.
- Maintain records and produce status reports.
