Position Overview:

As the Office Manager, you will be responsible for overseeing administrative tasks, managing accounting functions, and facilitating efficient communication between the office and field teams. Your role will involve providing oversight on invoices and payables, performing data collection to monitor field activities, verifying project completion, assisting with account reconciliations, and streamlining timekeeping processes. The ideal candidate will have strong accounting experience, administrative skills, and the ability to communicate effectively with area managers in the field.

Responsibilities:

  • Accounting Oversight: Review invoices and payables to ensure accuracy and match with project details. Assist with reconciling accounts and resolving discrepancies as needed.
  • Data Collection and Analysis: Collect and analyze data related to field activities, including project status, resource utilization, and financial performance.
  • Project Verification: Verify completion of projects according to established criteria and communicate with field teams to address any outstanding issues.
  • Administrative Support: Provide administrative support to the office and field teams, including managing schedules, coordinating meetings, and maintaining records.
  • Timekeeping Streamlining: Implement and oversee timekeeping systems to streamline clocking in processes and ensure accuracy in recording hours worked by field personnel.
  • Communication with Area Managers: Serve as a primary point of contact for area managers in the field, communicating effectively to address operational needs and provide support as necessary.

Requirements:

  • Proven experience in accounting, preferably in an oversight role.
  • Strong administrative skills, with proficiency in office software and systems.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with both office and field personnel.
  • Analytical mindset, with the ability to collect, analyze, and interpret data to inform decision-making.
  • Detail-oriented approach, with a focus on accuracy and thoroughness in all tasks.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Experience in the facility services industry is a plus, but not required.
