Position Summary:

Stagen Leadership Academy is looking for a Conference Services Specialist to join their fun, energetic, and fast-growing team. The Conference Services Specialist will be responsible for providing operational, customer service and hospitality support for our Clients and Internal Team. Stagen serves members representing hundreds of companies, dozens of industries, and thousands of employees, that require commitment and accountability. This role reports directly to the Business Operations Manager.


Job Responsibilities:


Conference Center Operations (45%):

  • Open or Close the Conference Center daily (Including coffee service, dishes, discarding leftovers, etc.)
  • Maintain a client-ready environment
  • Inspect the meeting rooms prior to events to ensure proper set-up
  • Take stock of perishable and no perishable inventory
  • Merchandise and restock the refrigerator and snack closet
  • Maintain inventory for conference center supply needs; interact with appropriate vendors to ensure supplies are available when needed
  • Submit expenses to Accounting each month
  • Propose improvements to Conference Center functions & customer experience
  • Maintain a professional appearance (Including a business casual dress code)



Reception (35%):

  • Welcome Stagen clients and visitors and set the tone for their experience of the Leadership Academy
  • Be the voice to incoming calls - provide inquiry information and transfer calls to requested party
  • Direct visitors to Conference Center, meeting rooms or team member offices
  • Attentively assist visitors (needs - coffee, Wi-Fi connection information, etc.)
  • Provide high quality service based on requirements and standards
  • Reset Chalkboard Calendar in Lobby
  • Receive incoming deliveries and notify appropriate parties accordingly
  • Coordinate appointments to see the space with Event Manager
  • Schedule internal and external events in the Conference Center and document on calendars
  • Work with Business Operations Manager on special projects related to maintaining the Academy
  • Get the Mail and distribute it



Hospitality Service (10%):

  • Work with Conference Services Coordinators to assist with any Non- Program related event have the appropriate coverage
  • Attend Hospitality Weekly Rhythm Meeting
  • Maintain catering kitchen organization and cleanliness
  • Load and Unload Dishes, Polish glassware and silverware & fold towels and linens for Academy Daily use.
  • Reset each room as needed to maintain Academy readiness



Stakeholder Coordination (5%):

  • Maintain positive relationships with key stakeholders
  • Keep all equipment functioning (A/V, catering equipment, etc.), contact appropriate vendor for repairs as soon as possible. Report updates to Business Operations Manager as needed



Required Qualifications:

  • High level of attention to detail and follow through
  • Proficiency in MS Office Suite
  • Ability to balance delivery of results, problem solving, and client management
  • Exceptional communication (verbal, written, and presentation) skills
  • Prior Customer Service experience (1 Year)
  • Ability to work under pressure
  • Strong organizational skills
  • High School Diploma or GED



Preferred Qualifications:

  • Calligraphy Skills
  • Bilingual
