We are looking for a seasoned Senior Resourcing and Project Manager with 6-8 years of experience to support agency resourcing, marketing, and advertising projects. This position plays a critical role in balancing resource demands across teams, ensuring the efficient and effective use of talent, and aligning project management practices with organizational goals and objectives. It is a highly strategic role that requires excellent communication, leadership, and organizational skills, as well as a deep understanding of project management principles, resource management best practices, and the ability to forecast and adapt to changing resource needs.
Project Management Responsibilities
- Implement and reinforce existing processes and procedures to improve efficiency, reduce waste, and increase productivity. Propose adjustments for observed inefficiencies while escalating broader strategic changes to the VP, PM.
- Collaborate with clients, account managers, and creative teams to define project goals, objectives, and deliverables. Create project plans, timelines, and budgets that align with client requirements and agency capabilities.
- Interface with clients during meetings, calls, and via email in a professional and timely manner.
- Oversee the execution of projects to ensure they stay on track, meet deadlines, and adhere to quality standards. Coordinate task assignments, prioritize deliverables, and route files for review to ensure smooth workflows.
- Regularly monitor risks related to project budgets, timelines, and quality. Escalate critical issues to the VP, PM for strategic mitigation.
- Act as a point of contact for clients on active projects, maintaining clear and effective communication. Provide regular project updates and escalate broader client relationship management tasks to the VP, PM.
- Collaborate with account teams on financial reporting tasks, such as determining earned revenue. Focus on execution and analysis of project financials.
- Conduct post-project evaluations and gather feedback from internal team members to assess project success and identify areas for improvement. Summarize findings and escalate recommendations to the VP, PM for broader application.
- Ensure deliverables meet agency quality standards by coordinating reviews with QA, copy and design teams and resolving issues.
Resource Management Responsibilities
- Lead the monthly revenue projections and resource allocation process, meeting with every AM/PM to review project statuses and determine resourcing needs. Address resource constraints and opportunities for efficiency improvements, escalating major issues to the VP, PM.
- Maintain and regularly review the agency's weekly resource allocation sheet to identify potential challenges and collaborate on solutions. Focus on optimizing the utilization of all “shared agency resources”—including designers, writers, digital experts, strategists, and motion designers—ensuring their time and skills are effectively distributed across the organization.
- Utilization reporting
- Support individuals with PTO planning and resource allocation to ensure proper coverage and balanced workloads.
- Maintain clear communication with freelancers and oversee the freelance resource management process. Ensure that designated team members are responsible for tasks such as negotiating contracts, evaluating work quality, and monitoring utilization to align with agency needs and expectations.
- Use and maintain resource management tools to forecast workloads, identify resource gaps, and provide actionable insights to department leads and the VP, PM.
Expectations and Required Experience:
- 6-8 years of resourcing and project management experience in a marketing agency environment
- Effectively develops budgets and manages project timelines and resources to ensure that all projects are delivered on time and within budget.
- Has a strong understanding of earned revenue and financial reporting
- Can successfully plan and oversee multi-million dollar engagements that include many different project types – print/direct mail, websites, email campaigns, media asset development, video/photoshoot production, brand launches, etc.
- Experience with PM software like Smartsheet, Monday.com, Mavenlink, JIRA, etc. for resourcing, project management, and timeline creation.
- Possesses background in business skills, digital technology knowledge, budgeting, and analysis.
- Is highly detail-oriented and extremely organized.
- Able to collaborate across agency functions (account, creative, developers, strategists) to ensure that the team has what is needed to deliver accurate and quality work to our clients.
- Demonstrates strong problem-solving skills.
- Operates with a mindset of efficiency, focusing on using time and talent where it makes the most impact.
- Generates increased revenue by ensuring project profitability through meeting specified profit margins by client and project.
