UHNW family is seeking a Chief of Staff to support their Montecito estate.


Responsibilities:

  • Provide personal, executive, and administrative support in all areas of the Principals lives
  • Be an “air traffic controller” for the Principals regarding flow of information
  • Proactively communicate with the Principals to ensure all upcoming and outstanding projects and events are being sufficiently managed and that issues are identified, addressed, and resolved promptly
  • Participate in daily/weekly meetings with the Managing Director and the management team to review projects, events, travel, Principal’s and family calendars, and staffing schedules
  • Prepare a weekly Pending Report for the Principals
  • Professionally represent and interface with Principals’ family, colleagues, clients, collaborators, and other important personal and professional advisors
  • Manage and maintain complex personal/family/business calendars, which involve extensive scheduling
  • Document, track, and prepare all pertinent information required for meetings
  • Maintain Principals’ contact database
  • Plan and execute travel itineraries and coordinate with residential property managers
  • Collaborate with the Managing Director and the management team on logistics coordination, planning, organization, and seamless orchestration of small-to-large-scale events
  • Coordinate and collaborate with outside organizations, entities, governmental officials, security teams, and event planners as required; maintain meticulous management of guest lists and RSVPs
  • Assist in developing and maintaining manuals, procedures, and checklists for operations, events, travel, etc., and conduct annual reviews and updates
  • Oversee projects as assigned, including maintenance of archives, memorabilia, and business/venture-related information
  • Assist in managing/tracking expenses and bills, and credit card reconciliations
  • Perform light financial analysis as requested
  • Review contracts pertinent to the Principal and liaise with other departments
  • Assist with general administrative processes, including daily mail receipt, record, and distribution; filing; scanning; photocopying; drafting outgoing correspondence and proofreading material, family membership tracking, and emergency contact list for Principals and family



Qualifications:

  • Bachelor's degree
  • At least 5+ years of estate manager/high level executive and/or personal support required
  • Experience coordinating various personnel service and hospitality teams required
