Job Description

Under the direction of the Program Manager, the Assistant Program Manager assists in supervising all functional areas of program in Early Childhood Development, Family and Community Partnerships, and Program Design and Management. An applicant complies with procedural norms and standards of attendance, punctuality, and confidentiality regulated by HIPAA.

Duties include the below:

• Ensures all staff work cooperatively to provide a learning environment based on the Montessori approach helping children develop physically, emotionally, socially, cognitively, and creatively.

• Interacts with staff, parents, and community to keep lines of communication open among these functional areas in order to ensure that the program is providing appropriate services.

• In conjunction with staff from each Functional Area (Education, Social Service, Administration, Health and Nutrition, Safety & Facilities, Disabilities, etc.), plans strategies, implements procedures, provides ongoing evaluation and performs consistent monitoring of the program’s overall performance based on observation, review of documentation, interviews, and staff’s feedback and total supervision.

• Sets standards for the quality of the program by helping staff to understand, meet/exceed the Performance Standards and other measures of quality (ACS/ACD), including, but not limited to Performance Outcomes and intake/enrollment processes.

• Designs work schedules for staff, which incorporate specific timelines for task accomplishment.

• Maintains a roster of active substitutes/volunteers to ensure proper coverage of all classrooms according to the Department of Health regulations.

• Encourages parents in their role as their children’s primary teachers by acting as resource person (i.e.: disseminating information, actively listening to parents, offering suggestions, etc.).

• Child Care site: Ensures client fees are collected, deposited, and recorded in an accurate, timely, and up-to-date manner.

• Ensures staff health records (annual medical exams) are up-to-date as required by the Department of Health.

• Ensures facility is healthy, safe, and secure at all times by conducting daily walk-through’s and completing a NYC Children’s Services Health & Safety Inspection (Facilities) Checklist at least three times per year.

• Provides immediate supervisor with a detailed written weekly schedule and informs him/her of any unplanned changes/conflicts in this schedule as soon as they arise.

• Adheres to all funding source standards in addition to the Agency policies and procedures; seeks guidance/clarification from their immediate supervisor regarding interpretation, applicability, and implementation.

• Strictly adheres to and enforces all the Agency policies regarding Confidentiality, HIPAA requirements, and Corporate Compliance regulations.

• Assists to staff to prioritize and perform all required tasks which include lesson planning and implementation based on the Agency’s annual curriculum guidelines, completing and submitting reports (CACFP, End of the Month, ACD-1’s, CROWD/Outcomes Report, etc.) according to established timelines, and updating records responding to parents/families’ request for services and conducting home visits.

• Develops and maintains appropriate management strategies and skills to ensure effective decision making, organization, and time management in accordance with appropriate regulatory guidelines.

• In conjunction with all staff, but especially Social Service Staff, sets a welcoming tone for involving parents/families in the “life” of the center by partnering through communication, clarification, and actualization of the Parent Involvement Philosophy as described in the Performance Standards.

• In conjunction with the Social Service Staff, assumes the leadership role in orienting parents to become partners and volunteers, including active participation at the DAPC level.

• Establishes and maintains positive relationships with parents/families via open communications, training, and other developmental activities.

• Responds in a timely manner to requests for program information.

• Provides opportunities for parents/families to grow, develop, and when appropriate to assume more responsibility either in a paid or voluntary capacity.

• Makes recommendations regarding: setting standards for quality, maintaining appropriate relationships, etc. (i.e. NAEYC Accreditation).
