Senior Director/Director of Client Services and Operations 


OVERVIEW 

The Senior Director/Director of Client Services and Operations (“Director”) is a self-motivated member of the Tony Fay PR (“TFPR”) team, leading and facilitating overall operations and client stewardship for TFPR and clients (“Partners”). The Director will work cross-functionally, supporting several efforts, reporting primarily to the VP of Client Services, as well as the Chief Operating Officer (“COO”), while prioritizing projects assigned by the CEO. 


  • Represent TFPR in Partner meetings and lead efficient, effective, and productive meetings.
  • Fulfill obligations of Partner scope of work by driving client services strategy, meeting cadence and deliverables for assigned TFPR core team. 
  • Oversee production of all internal Partner materials in support of VP and COO, including details and accurate calendar holds, itineraries, agendas, briefing materials, contact lists and presentations. Follow and enforce all TFPR brand guidelines and ensure consistent, accurate and polished presentation. 
  • Lead or support the planning and production of press events or media tours, which will include the development of staffing/timeline documents, itineraries, run of show, etc. 
  • Handle all operations of assigned Partner projects in collaboration with the core team, including but not limited to managing the checklist, timeline, scheduling, briefing, operations, booking of talent, etc., and at times budget as needed.
  • Manage on-site or virtual oversight of all Partner meetings, presentations, training, etc., including an advance visit prior to any on-site commitments to test technology, presentation and Wi-Fi, assign seats, and drop necessary materials. 
  • Host internal briefings and debriefings for all key Partner announcements, presentations, training, etc. to ensure staff know their roles and assignments in advance. Collaborate with the VP of Client Services to ensure consistency and effectiveness. 
  • Oversee media monitoring for assigned Partners and ensure reports go out on time and issues are troubleshot. Engage and manage media monitoring service. 
  • Oversee financial bill backs for assigned Partners, including liaising with the accounting department. 
  • Book and facilitate vendors as needed, such as photographers, videographers, and creative teams. 
  • Host partners, media, reporters and vendors (e.g. photographers, videographers) on site as needed to ensure successful execution of projects and planning. 
  • Play a role in TFPR’s business development committee and contribute to the growth, advancement and onboarding of new clients and revenue diversification tools. Enhance and grow this responsibility over time based upon employees interest and opportunities. 
  • Co-manage staff weekly agenda, update for assigned partners, point out necessary adjustments or deliverables one-on-one with staff as needed. 
  • Support oversight of TFPR master contact list, keep it updated and organized, utilize list for major announcements or holiday greetings. 
  • Support and commit to engaging with a new project management system for TFPR, featuring deadlines and deliverables organized by Partner and visible to staff to assist in elevating and upgrading TFPR workflow.
  • Support overall partnerships with media entities and outlets for key Partners or key pitches by leveraging professional relationships, including but not limited to stewarding media, generating ideas, leveraging opportunities. 
  • Participate in TFPR team engagements, including weekly team calls and at times monthly in-person meetings. 
  • Identify ways to position TFPR as an industry leader, present such ideas to the VP, COO and CEO and execute ideas with approval. 
  • Participate in training or development classes as requested.  
  • Suggest new and inventive ways to do work, take on new projects and strategies, as needed. 
  • Infuse creativity, eagerness and energy into tackling all of the tasks assigned. 
  • Identify possible efficiencies, look for solutions. 


QUALIFICATIONS AND SKILLS  

  • Candidates must be residents of the Dallas-Fort Worth Metroplex.
  • A bachelor’s degree.
  • A minimum of 6-10 of combined experience in the fields of public relations, communications, marketing, brand management, journalism, sport management, operations or similar fields.  
  • A minimum of 3 years of experience and familiarity with media organizations in the Dallas-Fort Worth region.
  • Experience writing, developing and pitching press releases and media advisories. 
  • Experience in successfully soliciting media outlets for coverage. 
  • Experience in tracking and measuring impact of coverage on traditional and social media.  
  • Ability to work independently and in a group setting, while prioritizing multiple projects and meeting strict deadlines for deliverables.
  • A high degree of personal initiative with the desire and ability to meet aggressive goals.
  • Experience working with media outlets and an understanding of the news media. 
  • Excellent written and verbal communication skills; ability to infuse creativity, innovation and insight into writing projects. 
  • Superior organizational skills, with high attention to detail.
  • Excellence with all social media platforms, including but not limited to Facebook, Twitter, Instagram and LinkedIn. 
  • Excellence with MS Word, Outlook, PowerPoint, and Excel and similar platforms.
