Virtual Assistant

Position Summary:
We are seeking a highly organized and proactive Virtual Assistant to support HBA in identifying, compiling, and managing speaking opportunities, while also providing essential administrative and marketing support. This role will focus on streamlining systems, managing databases, creating marketing materials, and managing content creation and scheduling across various platforms. The ideal candidate will be fluent in Kajabi, Canva, CRM systems, and have experience in marketing, podcasting, Vimeo, and social media management. This role demands high attention to detail, a strong work ethic, and strict adherence to confidentiality.
Key Responsibilities:
- Speaking Opportunities:
- Research, identify, and compile a list of relevant speaking engagements and events.
- Manage submission materials and deadlines, ensuring all speaking proposals are completed and sent out on time.
- Create efficient systems for tracking submissions, follow-ups, and event details.
- Marketing and Content Creation:
- Assist in creating and scheduling marketing materials, including graphics, social media posts, newsletters, and promotional content.
- Develop and maintain a content calendar for social media and email campaigns.
- Create, edit, and manage content using platforms like Canva, Kajabi, and Vimeo.
- Manage podcast-related tasks, including scheduling, guest coordination, and episode promotion.
- Systems and Protocols:
- Develop and implement efficient systems and protocols to improve workflow and productivity.
- Maintain and organize databases, ensuring information is up-to-date and easily accessible.
- Administrative Support:
- Manage CRM systems to track client interactions and speaking opportunities.
- Coordinate email communications and responses related to speaking engagements and collaborations.
- Assist with general administrative duties as needed.
Qualifications and Skills:
- Fluency in Kajabi, Canva, CRM systems, and social media platforms.
- Experience with Vimeo and podcasting platforms.
- Strong background in marketing, including content creation, campaign management, and social media strategies.
- Proficiency in creating systems and protocols for streamlined workflow.
- Excellent organizational and communication skills.
- Ability to multitask and manage multiple deadlines efficiently.
- A high level of confidentiality and discretion is required.
- A clean work ethic, ensuring accuracy, reliability, and professionalism in all tasks.
- Experience with compiling lists, submission materials, and managing content calendars.

Qualifications

- Experience with scheduling and calendar management
- Ability to handle sensitive and confidential information with integrity

- Knowledge or interest in psychology or behavioral sciences is a plus
