Organization Overview: Our organization is a philanthropic non-profit dedicated to improving access to civil legal aid for low-income Floridians. We achieve our mission by providing grants and awards to non-profit organizations that offer free civil legal assistance across the state.


Position Overview: We are seeking a meticulous and dedicated individual to join our team as a full-time Grants Assistant. This position will work under the supervision of the Grants Administrator, supporting the grants department in overseeing all grants and program-related expenses awarded by the organization. The Grants Assistant will play a key role in the application process, management, and reporting of grants.


Key Responsibilities:


Grant Application Support:

  • Assist in the management of the grant application process, including distributing application materials, collecting submissions, and maintaining applicant records.
  • Review grant applications for completeness and compliance with submission guidelines.
  • Coordinate with applicants to obtain additional information or clarification as needed.


Grant Management:

  • Help monitor and track the progress of awarded grants, ensuring timely submission of reports and adherence to grant terms.
  • Maintain accurate and up-to-date records of all grant-related documents and communications.
  • Assist in preparing and distributing grant agreements and amendments


Financial Oversight:

  • Support the Grants Administrator in tracking program-related expenses and ensuring proper allocation of funds.
  • Assist in the preparation of financial reports and budgets related to grants.
  • Help reconcile grant expenditures with budget allocations and ensure compliance with funding requirements.


Communication and Reporting:

  • Assist in drafting reports, presentations, and other communications related to the grants program.
  • Help prepare materials for board meetings and other organizational events.
  • Maintain regular communication with grantees to provide support and address any issues or concerns.


General Administrative Support:

  • Provide administrative support to the grants department, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Assist with special projects and other tasks as assigned by the Grants Administrator.


Qualifications:

  • Bachelor’s degree in a relevant field (e.g., nonprofit management, public administration, finance) preferred.
  • Previous experience in grant administration or a similar role within a nonprofit organization is highly desirable.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with grant management software preferred.
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
