About the Role:

Our client is seeking a Legal Assistant to join their team on a direct hire basis in Nashville, TN (37203). This is a fully onsite role Monday - Friday. The schedule is 9:00am-5:30pm / 10:00am-6:30pm (can pick your schedule).


Our client is seeking a candidate who meets the following criteria:

  • Over 5 years of experience as a Legal Assistant
  • Bachelor’s degree preferred, but not required
  • Proficient in all Microsoft Office applications (Outlook, Word, Excel, etc.)
  • Maintains a professional appearance with no visible tattoos or piercings
  • Capable of handling a significant amount of administrative work


Responsibilities

  • Provide office support for litigation attorneys, maintain and organize files, maintain calendars, coordinate meetings, calls and conference rooms, submit expense reports, schedule travel.
  • Provide support for monthly billing processes, attorney time entry and billing.
  • Manage client files; request client matter number, perform conflict checks, and maintain client files in software as well as physical files.
  • Document preparation, including, but not limited to, properly formatting pleadings, motions, briefs, correspondence, memos, outlines and summaries.
  • Calendar court deadlines.
  • Format, proofread and finalize detailed correspondence, pleadings and other legal documents as necessary.
  • Review and claim tasks received for team in a timely manner
  • Handle or delegate-to-team direct requests from attorneys; delegate billable work to paralegals
  • Always be willing to accept tasks and questions from attorneys, as well as admin work from fellow staff
  • Prioritize tasks as additional requests come in; be able to delegate and seek assistance when needed
  • Handle tasks efficiently and with precision to limit mistakes (quality over quantity)
  • Communicate frequently, concisely, and respectfully with teammates, as well as with attorneys and other staff
  • Develop and maintain strong working relationships with team members
  • Seek guidance from team members to answer questions and follow best practices; share ideas with team members to evolve processes
  • Continually develop individual knowledge bases and technical skills through training
  • Watch Teams chats with while handling tasks to keep lines of communication open and answer requests for assistance from teammates when needed
  • Provide training to attorneys when the opportunities arise
  • Solve problems with a high level of proactivity and engagement
  • Take initiative to contribute to the success of the LA Team as well as the firm overall


Requirements

  • Minimum 3 years combined legal experience in litigation and real estate.
  • Must have the ability to work as part of a team, as well as independently.
  • Significant experience in a similar role within a medium to large law or professional services firm working for lawyers and partners
  • Experience working with a document management system, such as iManage, or comparable software would be an advantage; previous experience with Aderant or comparable software
  • Knowledge of Westlaw and internet search engines for research purposes.
  • Technology savvy; proficient, knowledge of Microsoft Office Suite 365.
  • Detail-oriented and able to work in a fast-paced environment while making very few errors.
  • Typing speed of 65 wpm or above
  • Exemplary oral and written communication skills
  • Excellent attention to detail, including using correct spelling and grammar
  • Excellent client service skills
  • Can-do attitude and flexible approach
  • Position is 100% on-site
