Contract Type: Full-time, On-site
Job Summary:
The Medical Affairs Coordinator is responsible for coordinating Medical Staff meetings and special functions while maintaining the Medical Affairs budget. This role requires strong communication and problem-solving skills to effectively collaborate with Medical Staff leaders and administration. The coordinator will be instrumental in identifying issues, managing communication, and providing administrative, consultative, and secretarial support to the Medical Staff leadership.
Key Responsibilities:
- Coordinate Medical Staff meetings, special functions, and networking events.
- Develop and maintain the Medical Affairs budget.
- Ensure the integrity and privacy of physician records when responding to inquiries from physician offices, hospital departments, and the community.
- Process requests for verification of physician credentials from hospitals, institutions, and managed care companies.
- Collaborate with the Credentials Committee, Medical Executive Committee, Chief Medical Officer, General Counsel, and other Medical Staff offices to credential new practitioners and resolve credentialing issues.
- Manage onboarding activities for new doctors and Advanced Practice Providers (APPs), including coordinating attendance and completion of required tasks.
- Organize Section, Department, and Associated Medical Staff Committee meetings, including agenda preparation, minute-taking, guest speaker coordination, and room setup.
- Assist in data gathering for OPPE (Ongoing Professional Practice Evaluation) and FPPE (Focused Professional Practice Evaluation) to comply with The Joint Commission standards.
- Work with hospital administration, including the hospital President, to resolve physician concerns.
- Send and coordinate communication with Medical Staff members as requested by leadership.
- Provide administrative support to the Chief Medical Officer and Medical Staff President.
- Collaborate with the Inova Central Verification Office on information gathering and process improvement initiatives.
- Maintain a calendar of meetings, events, and related minutes for the department.
- Stay informed of hospital medical staff bylaws, rules, and regulations.
- Report to the System AVP of Medical Staff Services in the absence of the local Director of Physician Services.
- Support additional projects and duties as assigned.
Qualifications:
- Minimum of a High School Diploma; an Associate's degree is preferred.
- At least 5 years of administrative experience, preferably in a healthcare setting.
- Proficiency in MS 365 is highly desirable, with experience using MS Forms being a strong plus.
- Strong organizational, communication, and problem-solving skills.
- Ability to work full-time on-site.
Interview Process:
- The first interview will be conducted virtually by the hiring manager.
- The second interview will be an in-person meeting with the hiring manager’s supervisor.
