This role is integral to implementing Lean Thinking across the business by:


  • Managing workflows efficiently in CRM, spreadsheets, and project management tools.
  • Streamlining lead qualification and customer support to enhance response times.
  • Identifying opportunities to improve processes and boost productivity.
  • Supporting data-driven decisions through accurate reporting and insights.

Job Responsibilities


Office Management & Coordination

  • Oversee daily office operations to ensure efficiency and organization.
  • Manage schedules, meetings, and team communications.
  • Maintain digital records, filing systems, and supplies.
  • Support project management efforts by tracking tasks and deadlines in tools like Asana or Trello.


Sales Qualifying & CRM Management

  • Serve as the first point of contact for inbound sales inquiries via phone, email, and website.
  • Qualify leads by collecting relevant information and entering data accurately into HubSpot.
  • Assign qualified leads to the appropriate team members and ensure timely follow-ups.
  • Update and manage CRM data to maintain accuracy and usability for the sales team.


Customer Support & Research

  • Respond to customer inquiries and resolve issues with professionalism and efficiency.
  • Assist customers with product information, troubleshooting, and order status updates.
  • Conduct general research to provide informed answers to customer questions and support business decisions.
  • Handle returns, exchanges, and warranty claims as needed.


Technical & Administrative Tasks

  • Create and maintain spreadsheets in Excel/Google Sheets to track data, analyze trends, and support decision-making.
  • Manage invoices, payments, and financial records using QuickBooks.
  • Leverage Google Workspace tools (Docs, Sheets, Slides, etc.) for internal communication and reporting.
  • Assist with AI-based research and prompt crafting to improve internal processes and customer interactions.


Qualifications


Experience

  • 2-3 years of experience in office management, customer support, or sales roles, with demonstrated proficiency in administrative tools.


Technical Skills

  • Proficiency in Excel/Google Sheets (e.g., data analysis, formulas, pivot tables).
  • Experience with CRM platforms (preferably HubSpot).
  • Familiarity with QuickBooks or similar accounting software.
  • Competency with Google Workspace (Docs, Sheets, Gmail, Calendar, etc.).
  • Experience with project management tools (e.g., Asana, Trello) is a plus.
  • Basic knowledge of AI tools and prompt engineering is a plus.
