Job Title:

Personal Assistant

* The role requires a very flexible and highly organized individual who has exceptional attention to detail and can work collaboratively with other colleagues as well as with the Principal.

Location:

* This position is based in Water Mill, NY but may require some occasional travels to Florida during off season. Must be comfortable working in a home office setting. This position is a partially hybrid role.

Schedule:

* Typical hours will be during work week 9-5

* Minimum three days per week possibly more

* Flexibility needed for occasional later evenings and weekends

Compensation: $25 - $30 an hour

Job Description:

A Private Estate in Hamptons, NY is seeking an experienced and detail-oriented Personal Assistant with managing experience to support and manage day-to-day private personal and business matters. Looking for a trusted, reliable, confidential Personal Assistant, team player with a warm personality and healthy lifestyle to aid the family (husband and wife plus small dog) in managing the household and house office operation. The individual applying for the position should have office administration experience and a good understanding of workflow and prioritization, helping with personal calendars, social event calendar, booking travels, creating priority lists and schedules, facilitating orders for household, and helping the family with everyday errands. Bookkeeping experience is a big plus.

Qualifications:

* Previous experience as a personal assistant min 3 years

* A professional résumé with dates of employment

* Verifiable work references

* Clear knowledge and understanding of the English language

* Proof of ability to work within the United States

* Excellent communication skills (written, verbal and body)

* Valid driver’s license

* Must drive and have own transportation

* Excellent time management

* Punctuality

* Tech Savvy – Able to Help Principal with Computers, iPad, And iPhone

* Familiar with MS Outlook, Word, Excel, Gmail, Google Docs

* Resourceful in terms of internet search and online shopping

* Positive attitude, upbeat and friendly personality

* Identifies a goal and is able to quickly link tasks to that goal, does not get stuck * Systematic approach to problem solving

* Remain calm and composed in stressful, chaotic situations

* Must be flexible and understand that there will be periods of time with a very light workload and other times more time consuming

* Ability to maintain a high level of confidentiality

* Ability to learn new technology quickly

* Understanding charitable foundations

* Ability to lift 25 pounds

Responsibilities

* “Right hand lady” for the Principal’s PA

* Manage the daily household and business calendar, event calendar, knowledge of local and NYC major social events.

* Partner with the Principal to plan and prepare for the day, week, and month and ensures open line of communication at all times

* Create and maintain a household manual

* Improve existing office filing systems and efficiency

* Organize and maintain a filing/organization system for the household. Virtual and paper organization, archiving, inventory management, contact updating

* Assist with mailing list removals, domestic and international shipping, online subscriptions, membership renewals, personal donation processing

* Coordinate and manage communication across all vendors for the house, including housekeepers, gardeners, repairmen, interior designers, etc

* Email management and correspondence

* Clean/maintain Principal’s computer

* Coordinate dinner reservations, events, personal appointments and run various errands

* RSVP/confirm events as requested

* Manage gift supplies/ensure easy access to the Principal

* Maintain password list and manage all subscription services

* Responsible for various errands – dry cleaning, personal shopping, deliveries, returns etc.

* Monitor inventory and orders home office and household items and supplies

* Mail pick-up and sorting, as well as occasional packing, shipping, and tracking of various items

* Keep home office and pantry organized and stocked

* Ability to anticipate and be proactive on work needs ahead

* Availability once every 2 weeks for evenings to assist with entertaining guests

* Entertainment planning and execution. Organizing family events and outings, scheduling catering.

* Purchasing supplies for homes around the country

* Work closely with other staff on household projects

* Coordinate household staff as needed and help maintain monthly schedules for all homes

* Ability to learn housekeeping: maintaining wardrobes, etc.

* Culinary Skills: Meal prep, assist with hosting lunch and dinner parties

*Maintain wardrobe/organize closets

* Selling furniture

* Weekly house checks and report any issues (pictures/videos)

* Care for small family dog: bathing, walking, brushing, maintaining/cleaning toys, feeding, caretaking as needed

Job Types: Part-time, Contract

Pay: $25.00 - $30.00 per hour

  • 4 hour shift
  • 8 hour shift

Experience:

  • Microsoft Excel: 5 years (Preferred)
  • Microsoft Powerpoint: 3 years (Preferred)
