As a Bookkeeper/AP Specialist at our boutique marketing firm, you will play a pivotal role in maintaining the financial integrity of our operations. Your responsibilities will revolve around ensuring accurate financial records and facilitating timely payments to vendors and suppliers. This position demands meticulous attention to detail, strong organizational capabilities, and proficiency in various accounting software and systems.

Key Responsibilities:

  • Accounts Payable Processing: Manage the accounts payable process from receipt of invoices to payment disbursement, ensuring accuracy and timeliness.
  • Invoice Verification: Review and verify invoices for accuracy, completeness, and proper authorization prior to processing.
  • Vendor Communication: Communicate effectively with vendors regarding invoice discrepancies, payment inquiries, and other related matters.
  • Data Entry: Enter invoices, expense reports, and other financial transactions into accounting software with precision and efficiency.
  • Payment Processing: Prepare and process payments via checks, electronic transfers, or other methods in accordance with payment terms and company policies.
  • Expense Reconciliation: Reconcile vendor statements and resolve any discrepancies to ensure accurate accounting records.
  • Record Keeping: Maintain organized and up-to-date records of accounts payable transactions, including filing of invoices and related documentation.
  • Reporting: Assist in generating reports related to accounts payable aging, cash flow, and other financial metrics as required.

Qualifications:

  • Bachelor's degree in Accounting, Finance, or related field preferred.
  • Proven experience in bookkeeping, accounts payable, or related financial role.
  • Proficiency in accounting software such as QuickBooks or similar platforms.
  • Strong analytical skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and prioritize tasks effectively in a fast-paced environment.
