Position Summary

The Senior Property Manager is responsible for managing the day-to-day operations of a single-tenant mid- and high-rise office building in Austin, TX. Reporting to the Asset Manager, the Senior Property Manager must execute their duties efficiently, professionally, and profitably to achieve set goals in customer satisfaction, occupancy, delinquency, building appearance, revenue generation, and cost control. Additionally, this role oversees renovations of the class A commercial building.


Seeking an ideal candidate with excellent communication skills, a proven track record in delivering exceptional client/tenant relations and service, proficiency in budgeting and reporting, technical expertise in managing state-of-the-art building systems, and the ability to successfully manage and support a building operations team. Strong experience with Yardi is a must.


Responsibilities

  • Manage direct and indirect staff in the day-to-day performance of their jobs. The statewide team includes 6 full-time employees.
  • Provide excellent tenant service: Respond to tenant requests and problems in a timely and courteous manner. Generate work orders directed to vendors or maintenance staff, and follow up with the tenant to ensure the issue is satisfactorily resolved. Ensure that there is always 24-hour emergency coverage for the property.
  • Conduct weekly inspections of the property with cleaning account representative, chief engineer and tenant spaces to ensure compliance with leases and the proper upkeep of the property.
  • Ensure that property and lease files are properly maintained and kept up to date in accordance with company policy. Prepare and maintain appropriate tenant lease files, records, correspondence and file notes.
  • Assist with administering tenant occupancy including providing the new tenants with an introduction letter regarding emergency contacts, insurance requirements, rent collection procedures, and maintenance request procedures.
  • The Senior Property Manager is charged with supporting management's efforts in the day-to-day implementation of policies, procedures and programs that will assure a well-managed, well-maintained building, placing maximum emphasis on positive responses to the concerns and needs of the tenants, environmental health and safety, and quality programs in coordination and conjunction with the Owner's goals and objectives.
  • Requests, reviews, and approves proposals for construction and maintenance projects.
  • Oversees the completion of all tenant and capital improvements consistent with local codes, in compliance with leases and work letter agreements, to ensure tenant acceptance and timely completion.
  • Establishes and maintains tenant relationships to ensure the highest probability of tenant retention.
  • Preparation of annual or fiscal year operating budget coordinating all components of income (rental, leasing, escalation, etc.) and expenses (operating, debt, capital expenses, etc.)
  • In charge of the production of projects to the investor’s reports (e.g., budgeting, business plans, spreadsheets, financial statements, RFPs) and collaborating with the accounting department.
  • Monthly review and analysis of property financial operating reports including financial statements, balance sheet and cash flow statements.
  • Preparation of variance report comparing income and expense budget to actual.
  • Manage accounts receivable including proactive collection of delinquent rent or other action as appropriate.
  • Process invoice information immediately and provides support to the accounting team as necessary.
  • Review and approve all expense invoices to ensure general ledger account coding reflects against proper budgeted amount and category.
  • Prepare special analyses and reports as requested by Owner and/or Lender.
  • Work with Chief Engineer to address potential maintenance issues and review ongoing preventive maintenance programs.
  • Initiate and resolve all Insurance claims with carrier.
  • Become proficient with Yardi property management and QuickBooks software. Coordinate entry of all property information into the software program and establish reporting protocols for maintenance requests, preventative maintenance, vendor and tenant Certificates of Insurance and key lease date tracking. Monitor all key dates and reporting within the MRI system.
  • Other duties as assigned.


Qualifications

  • Ability to read and interpret financial reports.
  • Excellent written and oral communication skills.
  • Excellent organizational skills and a strong attention to detail.
  • Strong knowledge of MS Office products (Word, Excel, Outlook).

Education and Experience

  • 5 or more years of experience as Property Manager of a High-Rise Class “A” Office building in the Austin, Texas market is required.
  • Required experience overseeing capital improvements and renovations of commercial property.
  • Prior experience with Yardi and QuickBooks software is required.
  • Experience with tenant relations, property operations, monthly reporting, budgeting, operating expense recoveries, contract administration, leasing, and marketing of commercial properties.
  • A bachelor’s degree is preferred.


Physical Requirements with/without Reasonable Accommodations

Must be able to hear clearly (with or without the use of a hearing aid) and frequently lift and/or move up to 25 pounds.
