Job Title: Accounts Payable Specialist


Job Overview: The Accounts Payable Specialist is responsible for managing and maintaining the financial records related to a company’s payable transactions. This role involves processing invoices, verifying and reconciling expenses, and ensuring timely payments to vendors. The Accounts Payable Specialist works closely with other departments to ensure accurate financial reporting and compliance with company policies and procedures.


Key Responsibilities:


Invoice Processing:

  • Review and verify invoices and check requests.
  • Sort, code, and match invoices.
  • Set invoices up for payment.
  • Enter and upload invoices into the system.
  • Track expenses and process expense reports.

Payment Processing:

  • Prepare and process electronic transfers and payments.
  • Prepare and perform check runs.
  • Post transactions to journals, ledgers, and other records.
  • Reconcile accounts payable transactions.

Vendor Relations:

  • Maintain vendor files.
  • Communicate with vendors to resolve discrepancies and respond to inquiries.
  • Ensure timely payment of vendor invoices and expense vouchers.

Compliance and Reporting:

  • Assist with month-end closing.
  • Produce monthly reports and assist with year-end reporting.
  • Maintain compliance with financial policies and procedures.

Internal Coordination:

  • Collaborate with internal departments to ensure accurate expense allocations.
  • Assist with internal audits and external audits as needed.
  • Provide supporting documentation for audits.


Experience:

  • Proven working experience in accounts payable or a similar role.
  • Familiarity with accounting software (e.g., QuickBooks, SAP, Oracle).


Skills:

  • Strong understanding of basic accounting principles.
  • Proficiency in MS Office, particularly Excel.
  • Excellent organizational and time management skills.
  • A high degree of accuracy and attention to detail.
  • Strong interpersonal and communication skills.
  • Ability to handle confidential information in a discreet, professional manner.


Work Environment:

  • Typical office environment with standard business hours.
  • May require occasional overtime during peak periods, such as month-end and year-end closing.
