Position Title:                       Director of Administration and Operations

Reports to:                            President & CEO

 

The main scope of the position is the management of day-to-day operations of the association, supervision of support staff, oversight of meetings and events in conjunction with other staff, providing support to the President & CEO for board, executive committee and related activities, and serving as lead staff in the absence of the CEO.

 

Administration: Institute and train staff in processes and procedures to ensure smooth operation of daily functions of the association and Foundation. Oversee the operation of ATA’s Title and Vehicle Registration Office, accounting office, and reception desk and supervise personnel. Oversee contractors who provide landscaping, janitorial, and other services related to the physical plant. Supervise the maintenance of membership databases, and ensure smooth integration of new members into the association. Maintain records of the association’s liability for employee vacation and personal leave, as well as for accrued employee sick leave. Manage association’s liability, D&O, and health insurance programs; 401(k) and related programs; and ensure timely payment of reimbursed medical expenses to employees. With the President & CEO, negotiate and oversee member benefit and affinity programs and ensure continuity. 

 

Financial: Supervise the Accounting Office. Supervise preparation and review of payroll. Ensure timely preparation of budgets, financial statements, minutes, and other reports as required by law, regulation, or bylaws. Provide oversight on A/R and A/P functions and ensure timely and courteous collections. Oversee major vendor and contractor relationships and payments.

 

Membership and Marketing: Answer member questions, refer members to the appropriate staff member, and coordinate with other staff to recruit and retain members. Ensure timely and accurate production of association flyers, brochures, magazines, email bulletins and updates to the ATA website and other online media. In cooperation with staff and contractors, plan membership meetings and events, including the annual leadership conference; fundraisers; member orientations; and seminars.

 

Knowledge and Skills:

Eight to 10 years demonstrated supervisory and management experience; excellent oral and written communication skills; basic understanding of banking, accounting systems and budget preparation; ability to oversee and manage multiple projects and deadlines; experience in event planning, sales, and project management; computer knowledge; ability to maintain positive relationships.
