Overview:

As a Front Office Receptionist/HR Admin, you will play a pivotal role in creating a positive

and welcoming first impression for visitors, clients, and employees. In addition to managing

front office operations, you will provide administrative support to the Human Resources

department.

Responsibilities:

Front Office Receptionist:

Welcome and Greet:

● Warmly welcome visitors, candidates, and employees.

● Manage the front desk and ensure a tidy and organized reception area.

Answering Phones:

● Handle incoming calls and direct them to the appropriate person or

department.

● Take messages and provide information as needed.

Visitor Assistance:

● Assist visitors with receiving applications for employment, answering

questions and providing necessary information.

● Manage inquiries and direct individuals to the right contacts.

Mail and Package Handling:

● Receive, sort, and distribute incoming mail and packages.

● Assist in coordinating outgoing mail and courier services if applicable.

HR Admin:

Onboarding Support:

● Assist in the onboarding process for new employees, including paperwork

and entering into the HRIS system.

● Coordinate with various departments to ensure a smooth onboarding

experience.

Record Maintenance:

● Maintain accurate and up-to-date employee records in both physical and

digital formats.

● Assist in data entry and management of HRIS.

Employee Relations:

● Support HR in handling basic employee inquiries and concerns.

● Assist in organizing employee engagement activities.

Documentation and Filing:

● Prepare and maintain HR documents, including garnishments and

employment verifications

● Ensure compliance with record-keeping requirements.

HR Projects:

● Contribute to HR projects as assigned

Requirements:

● Bilingual in Spanish is a must.

● Ability to write in Spanish is a plus.

● Proven experience as a Receptionist and/or HR Administrative Assistant is a plus.

● Excellent communication and interpersonal skills.

● Strong organizational and multitasking abilities.

● Proficient in MS Office Suite aDiscretion in handling confidential information.

● High school diploma; additional qualifications in HR or Business Administration is a

plus.
