Summary A global medical capital equipment company is seeking an experienced Contract Specialist to join the team. This position reports directly to the Contracts Manager and is responsible for independently managing all contract-related activities for our portfolio of contracts with various U.S. government agencies, including the VA, DOD, state facilities, and the Federal Government.


Responsibilities

  • Contract Administration: Serve as the primary administrator for a portfolio of contracts with U.S. government agencies, including the VA, DOD, state facilities, and the Federal Supply Schedule.
  • Contract Management: Manage all change notices, amendments, and contract close-outs. Ensure compliance with all contractual terms and government regulations.
  • Proposal Support: Support the Request for Information/Proposals/Quotes (RFI/P/Q) process by reviewing documents to provide guidance on the FAR, DFAR, or other clause impacts, identifying contractual risks, and clarifying these risks through written questions or assumptions.
  • Collaboration and Communication: Interact and communicate with finance/accounting and business teams for contract issue resolution, dispute settlements, and kickoff meetings.
  • Compliance and Policy Enforcement: Ensure adherence to contracting policies and procedures, including internal approvals and documentation for new proposal activities. Serve as the focal point for resolving compliance questions.
  • Drafting and Negotiation: Lead in drafting narrative content for business proposals. Manage relationships with federal contracting officers/subcontract administrators to discuss contract modifications and resolve questions. Develop, review, redline, and negotiate complex and/or non-standard contracts and agreements.
  • Database Management: Maintain the contract database and associated documentation. Manage vendor registrations required for contracting with government agencies, including SAM registration.
  • Opportunity Identification: Proactively search for bid opportunities via online platforms and email notifications.
  • Funding Documentation: Document and maintain obligated funding amounts with VA contracts.
  • Sales Support: Act as a subject matter expert for the sales team on process, policy, and pricing matters.
  • Process Improvement: Participate in cross-functional team meetings to drive process improvements.
  • Data Management: Collect data to update account information in ERP and CRM systems, and work proactively to clean master data.


Qualifications

  • Bachelor’s degree in Business Administration, Law, or a related field.
  • Minimum of 3 years of experience in contract management or a similar role, preferably within the medical capital equipment industry or dealing with government contracts.
  • Strong understanding of government contracting regulations, including FAR and DFAR.
  • Excellent organizational, negotiation, and communication skills.
  • Proficient in the use of contract management software, ERP, and CRM systems.
