From negotiating with hoteliers in Cancun to rerouting Maui-bound attendees stranded by Midwest blizzards, our people thrive on ingenuity, responsiveness, and boundless energy.The RoleWe’re seeking a detail-oriented, resourceful Bookkeeper & Operations Coordinator to head our booking and support operations functions. This full-time, 35-hour/week position will play a critical role in ensuring smooth, accurate, and timely administrative processes for our international incentive programs.Key ResponsibilitiesMaintaining Company financial records includingProcessing Payroll for 12 employeesProper IRA processingPaying Payroll TaxesCommunicating with CPAClosing jobsRunning necessary reportsInvoice Processing & EntryReconcile discrepancies and liaise with vendors/account managers for resolutionInternational Wire ManagementPrepare and initiate international wire transfers (ACH, SWIFT)Monitor confirmation and settlement, troubleshoot any issues with banksReconcile AccountsEnsure credit card charges are valid and documentedReimburse employee expensesAdministrative SupportAssist with ad-hoc reporting, Excel-based analyses, and calendar managementCoordinate with cross-functional teams to support event-planning milestonesWhat You BringAssociate’s or bachelor’s degree in accounting, finance, or related field (or equivalent work experience)Ability to maintain confidentiality and handle sensitive financial information2+ years of bookkeeping experienceProficiency with QuickBooks and ExcelExperience initiating and tracking international wire transfersExceptional attention to detail, follow-through, and organizational chopsStrong written and verbal communication skills; professional demeanorPreferred:·        Experience preparing materials for annual audits and tax filings.·        Familiarity with multi-state payroll or project/job costing.·        Certification (e.g., Certified Bookkeeper, QuickBooks Certified ProAdvisor, or equivalent) is a plus.Why Summit Planners?Dynamic Culture: Collaborate with a tight-knit team that prizes creativity, resourcefulness, and energy.Yearly bonusWork 2 days a week from home during summer2 weeks of vacation6 paid sick daysGlobal entry paid forMatched IRA ContributionsHow to ApplyPlease send your résumé and a brief cover letter outlining your relevant experience to Andrew Riedle ariedle@spmeetings.com with the subject line “Bookkeeper & Operations Coordinator.” We look forward to learning how your talents will contribute to Summit’s next great incentive programSummit Planners is an equal-opportunity employer.
