Single Family Office Managing Director

This is the first position for a newly created Family Office in South Florida and will suit someone who has been an Operations Director or Operations Manager in a family office setting previously. This role is not suitable for senior investment professionals.


As the Head of the Family Office, you will oversee a diverse array of responsibilities aimed at ensuring the smooth operation and effective management of the family office. Your tasks will encompass a wide range of administrative, financial, and operational duties, including but not limited to:


  • Establishing and managing the physical office space, including oversight of any future administrative employees, HR, and payroll functions.
  • Assisting the Finance Committee by monitoring billable hours from service providers and ensuring precise payments for each appropriate trust and entities.
  • Supervising the administration of non-investment bank accounts for trusts and entities.
  • Assisting the President in managing banking relationships, including fee negotiation and lines of credit.
  • Collaborating with the bookkeeper to create reports on the family office budget and its execution.
  • Aiding the President with document collection for the annual audit.
  • Facilitating the organization of annual Board and Officers reviews in conjunction with the President and Chairman.
  • Managing insurance providers to secure the best health insurance solutions for the family.
  • Assisting with Know Your Client (KYC) and Anti-Money Laundering (AML) processes with service providers and investments.
  • Work with external vendors to design, implement, and maintain robust technology security systems, with a focus on enhancing email security, secure document storage, and encryption protocols.
  • Collaborate with external tech vendors to facilitate efficient resolution of technical challenges and addressing issues related to email, desktop, laptop, or PDA setup
  • Acting as a liaison between the family and service providers, handling typical and atypical requests such as beneficiary reimbursements and communication facilitation.
  • Providing support for Rising Generation or other beneficiary-required education initiatives.
  • Serving as Secretary for all committees including organization of attendee’s calendars for meetings, preparation of Board reports and minute-taking at Family Assemblies and other Family meetings.
  • Managing administration for all relevant entities and other real estate-related management responsibilities.


Qualifications:


  • Bachelor's degree in finance, business administration, or a related field; advanced degree or professional certification preferred.
  • Possess a minimum of 10 years of demonstrated expertise in a comparable role within the wealth management sector, showcasing a proven track record. Highly desirable is experience in a family office or a similar setting.
  • Exceptional project management skills, with the ability to orchestrate complex initiatives and drive results.
  • Strong interpersonal and communication abilities, with a knack for building rapport with advisors and family members alike.
  • Strategic mindset coupled with analytical prowess, enabling the identification of opportunities and risks within the family office.
  • Familiarity with trust administration, tax and financial terminology, and investment management principles.
  • Demonstrated commitment to upholding confidentiality and discretion in handling sensitive financial matters.
  • Dedication to maintaining the highest standards of professionalism and integrity in all dealings.
