Job Summary:

The Accounting Assistant is responsible for supporting the finance department in managing daily accounting tasks. This role involves handling both Accounts Payable (A/P) and Accounts Receivable (A/R) functions, assisting in the maintenance of the general ledger, and ensuring accuracy and efficiency in financial operations. The ideal candidate is detail-oriented, organized, and has a solid understanding of basic accounting principles.


Key Responsibilities:


Accounts Payable (A/P):

  • Process vendor invoices and ensure proper documentation and approval.
  • Schedule and prepare payments via checks, ACH, or wire transfers.
  • Reconcile vendor statements and resolve discrepancies in a timely manner.
  • Maintain and update vendor files, including W-9 forms and other required documents.
  • Assist in month-end closing by ensuring all A/P entries are recorded accurately.


Accounts Receivable (A/R):

  • Generate and send out invoices to customers promptly.
  • Monitor customer accounts for non-payment and delayed payment.
  • Record and reconcile customer payments, including checks, credit cards, and electronic transfers.
  • Follow up with customers regarding outstanding balances and manage the collection process.
  • Prepare regular A/R aging reports and assist in assessing credit risk.


General Ledger:

  • Assist in maintaining the general ledger by posting journal entries.
  • Reconcile general ledger accounts and ensure the accuracy of financial data.
  • Assist with month-end and year-end closing processes.
  • Support the preparation of financial statements and reports.
  • Collaborate with the accounting team to ensure compliance with internal controls and accounting policies.


Qualifications

  • Bachelor's Degree in Accounting or a related field of study
  • 1-3 years' of experience working in Accounting
  • Strong written and verbal communication skills
  • Highly detail-oriented
  • Strong understanding of Microsoft Excel
