Job Title:       Trade Show Coordinator

Status:           Hourly/regular part- time (20-25 hours per week with additional hours as needed October – March)

Reports to:    Director of Convention & Associate Partnerships


Purpose: To help manage all aspects of the NRLA LBM Expo and IDEAS trade shows, while providing customer excellence to exhibiting companies and attendees. To assist the department director as needed.


Marketing/Promotion Duties

  •  Assist in writing copy (and design where applicable) for all Expo and IDEAS communications including: Mailings, Service Manual, digital promotions, Show Guides
  • Proofreading as requested


Management & Administration Duties

  • Assist director with exhibits and registration set-up in AMS
  • Assist with selling booth space and sponsorships
  • Compile and maintain Exhibitor Points data
  • Process exhibitor applications, AR, confirmation emails
  • Assist and track exhibitor promotions
  • Customer service for all exhibiting companies/prospects
  • Maintain Expo and IDEAS online show floor, website, and Mobile App
  • Produce and assign staff call lists for exhibitors and retail members
  • Assist exhibitors and attendees in registration process
  • Coordinate meeting materials for committee meetings
  • Assist director with administrative tasks as needed


Qualifications

  • Trade Show/ Event Management experience
  • Strong communication skills
  • Attention to detail, accuracy, deadlines, ability to manage multiple tasks and prioritize
  • A commitment to customer excellence and strong relationship management skills
  • Outgoing and energetic
  • Ability to plan and work independently as well as with a group
  • Excellent computer skills
  • Association management software experience preferred

This is a hybrid position. Office is located in Rensselaer, NY. You will be expected to work in the office one day per week and cover the office one additional day on a rotating basis every 8-10 weeks.


Travel is required twice a year – less than 10%
