Eastern Idaho Regional Associate

The members of the Idaho Education Association, Idaho’s oldest and largest public employee union, are looking for a hard-working and organized regional associate and legal assistant in eastern Idaho.
Based in either Idaho Falls or Pocatello, the new regional associate and legal assistant will report to IEA’s general counsel and must travel as needed in the East Idaho region.
Minimum Qualifications
High school graduation or equivalent. Two years of clerical or secretarial experience. Completion of one academic year at a college, or vocational technical school may substitute for one year of experience. Successful completion of a high school office practices curriculum may substitute for six months of required experience. Possesses a valid drivers license.
KNOWLEDGE, SKILLS AND ABILITIES
- Office skills including: telephone techniques, proficiency in Microsoft Word/Windows (current version), punctuation, spelling, English usage, composition, proofreading, filing, math and bookkeeping, office equipment operation.
- Prioritize duties; serve as liaison between Region Director and members; develop a working knowledge of the Association.
- Perform assigned duties independently.
- Effective working relationships with others.
DUTIES
- Acts as receptionist; answers telephone, sets up/maintains manual and computer filing system, opens and distributes mail; prepares and posts outgoing mailings.
- Types, prepares and/or duplicates reports, materials, minutes, correspondence, and brochures/flyers, as directed.
- Maintains region office inventory; keeps record of region financial expenditures.
- Makes meeting, workshop and travel arrangements as assigned.
- Makes delivery and pick-up of materials as necessary.
- Serves on committees; attends meetings as assigned.
- Performs other relevant duties as assigned.
- Provide paralegal services, as well as secretarial and receptionist services, as needed, for the IEA General Counsel. Said duties shall include general filing, opening, closing and maintaining legal files, coordination with storage facility regarding closed files, and all phases of administrative office maintenance.
- All phases of pretrial case preparation (briefing, discovery including scheduling depositions, etc.), as assigned by IEA General Counsel and consistent with standard paralegal duties.
- All phases of trial and appellate level case preparation (briefing, preparation of exhibits, coordination of the appearance of witnesses, etc.), as assigned by IEA General Counsel and consistent with standard paralegal duties.
- All phases of EEL (criminal) case tracking, including communication with insurance claim representatives and criminal attorneys regarding case status, as requested by IEA General Counsel. Responsible for collection of fee and cost reimbursement from insurance company if exoneration occurs.
- Assist with research as assigned by IEA General Counsel, including proficiency in utilization of computer-assisted legal research program contracted by IEA Office of General Counsel, i.e. Westlaw, etc.
- Responsible for compliance with NEA time and cost reporting requirements, tracking and submitting own billable time and costs for reimbursement, entering outside counsel time and costs for reimbursement, and remaining proficient in the Unified Legal Services Program/DuShane Legal Management System (ULSP/DLMS) programs, including continuing training as it becomes available.
- Responsible for preparation and compliance with all NEA auditing requirements, including file preparation, membership reporting, working with IEA business office to obtain necessary financial reports, and meeting with auditor as requested. Also responsible for reconciliation of any discrepancies, review and finalization of NEA auditor’s final report.
- Maintain the schedule for the IEA General Counsel, including making appointments and travel arrangements as requested by the IEA General Counsel.
- Other duties as assigned.
SALARY RANGE
$46,902 to $61,478 depending on experience.
