About our Children's Shelters

Many children begin life in the face of serious challenges. Instead of playing pretend and imagining grand adventures, unaccompanied children face perilous conditions alone as they travel to unfamiliar countries, leaving home and loved ones behind to escape war and violence. Our children's centers, operated through a grant from the Office of Refugee and Resettlement (ORR), provide safety, stability and wraparound services. We help children grow into adults who have received love and kindness, instead of only violence and chaos.

What You'll Do

The Receptionist is responsible for greeting and assisting all visitors, answering, and directing calls to the appropriate department or department staff, and providing administrative support for the facility or department in a friendly, courteous, and professional manner.

All Upbring Children's Shelters employees must comply with ORR's vaccination mandate.

All staff must be able to show proof of immunity to vaccine-preventable diseases transmitted by the respiratory route if working directly with unaccompanied children (UC).



Responsibilities

Work Standards

  • Schedule department and facility meetings as requested; schedule meetings for conference room and maintain conference room calendar (not required duty at Corporate office)
  • Serve as a point of contact for copier/printer issues, if needed
  • Order supplies and maintain an appropriate level of supply inventory
  • Complete administrative duties, such as filing, scanning, faxing, copying, and printing when needed
  • Other duties and special projects as assigned

Communication

  • Greet and assist in a courteous and professional manner; welcome visitors to the facility, maintain the visitor log, provide, and retrieve visitor badge and notify department or program staff of visitor arrival; ask visitors to wait in the lobby area to await escort
  • Answer multiple phone lines and direct calls to the appropriate department or individual or take a message when deemed appropriate; screen calls to ensure the caller's questions or concerns are properly answered
  • Maintain and check the general voicemail, forward calls to appropriate department or individual and/or take a message
  • Sort and distribute incoming mail; process outgoing mail and arrange for courier service when needed
  • Complete data entry and create or complete reports upon request
  • Maintain records and audit files to meet department and facility needs and compliance with regulatory requirements

  • In partnership with the maintenance team ensure the lobby area is clean, presentable, and welcoming at all times; keep the reception area clean, neat, and free of visual obstruction
  • Work closely with management and staff to assist them in meeting department or program goals and objectives

Qualifications

Minimum Qualifications

  • Must be at least 21 years of age
  • 1-year previous receptionist experience

Knowledge, Skills and Abilities

  • Ability to work in a fast-paced environment, while maintaining excellent customer service skills
  • Able to communicate in person and by telephone in a friendly and welcoming manner
  • Strong organizational and time management skills with the demonstrated ability to complete tasks in a timely manner and pay close attention to detail; ability to prioritize assigned tasks
  • Strong interpersonal and people skills with the ability to work and interact with diverse groups of people
  • Basic skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)

Preferred Qualifications

  • 2 years' previous receptionist experience
  • Bilingual in English and Spanish (based on service area and/or population)

Physical Demands & Work Conditions

  • This position requires sitting and looking and using a computer for long periods of time
  • Position works in a child facility and has constant exposure to children
  • Lift, push, pull, move up to 25 lbs.
