Job Title: Payroll Clerk

Job Summary:

The Payroll Clerk is responsible for assisting in the preparation and processing of the company's payroll, ensuring accurate and timely compensation for all employees while complying with federal, state, and local payroll regulations. This role involves maintaining payroll records, processing payroll adjustments, and responding to employee inquiries regarding payroll issues.

Essential Functions of the Position:
  • Assist in processing payroll for employees, including reviewing time sheets, wage computation, and other information to detect and reconcile payroll discrepancies.
  • Proactively maintain and update employee HR and Payroll records, ensuring accuracy, confidentiality, and compliance with legal requirements.
  • Audit payroll processing reports for errors and make necessary adjustments or corrections.
  • Respond to employee inquiries regarding payroll matters, tax issues, benefit deductions, and other pay-related questions.
  • Work closely with HR and finance departments to enforce payroll policies and procedures.
  • Accurately balance payroll runs to ensure correct employee compensation.
  • Manage and document records related to vacation, sick leave, and other types of leave, providing clear and accessible reports for management and employees.
  • Coordinate the distribution of paychecks, ensuring timely and accurate delivery to all employees.
  • Process termination checks in accordance with company policies and legal requirements, ensuring affected employees receive accurate final wages in a timely manner.
  • Issue manual checks as needed, addressing special payroll circumstances with accuracy and efficiency.
  • Perform thorough payroll reconciliation and timesheet auditing to identify and correct discrepancies, maintaining the integrity of payroll processing.
  • Maintain a systematic filing system for employment records, ensuring easy access and compliance with record-keeping regulations.
  • Perform related tasks as directed.
Knowledge:
  • 1-2 years of experience in payroll processing or a similar role.
  • Certification from the American Payroll Association (APA) is a plus.
  • Proficiency in payroll software (e.g., ADP, Paychex) and MS Office (Excel, Word).
  • Up-to-date knowledge of payroll regulations, tax laws, and compliance standards.
Skills:
  • Excellent verbal and written communication skills for addressing employee inquiries and collaborating with team members.
  • Strong analytical skills for auditing payroll and identifying discrepancies.
  • Fast and accurate data entry skills to efficiently process payroll information.
  • Strong organizational skills to maintain records and manage a large number of payroll transactions.
  • Strong written and verbal communication skills for interacting with colleagues, and management to resolve issues and report on status.
Abilities:
  • Ability to perform detailed calculations and manage multiple tasks with accuracy.
  • Ability to meticulously review payroll documents for accuracy and completeness.
  • Ability to handle sensitive payroll information with integrity and confidentiality.
  • Ability to adapt to new software, processes, or changes in policies and regulations affecting accounts payable.
Physical Requirements:
  • Significant portion of their day sitting at a desk, working on a computer, and performing administrative tasks.
  • Must be able to handle paperwork, files, and documents, including lifting, carrying, and organizing paperwork as needed.
  • Proficiency in using typical office equipment such as photocopiers, scanners, fax machines, and printers.
  • Ability to perform tasks that require fine motor skills, such as using a keyboard, writing, or handling small objects.
  • Specify the typical working hours and whether overtime or extended periods of sitting may be required.
Work Conditions:
  • Standard Work Hours: Typically, Monday to Friday, up to 8 hours a day, with occasional overtime to meet project deadlines.
