Essential Functions, Responsibilities & Duties may include, but are not limited to:

  • Executes a variety of administrative functions to include routing messages, monitoring the records management systems, coordinating logístical support for staff meetings, preparing correspondence, Timekeeping, or reading files and determining appropriate action.
  • Coordinates routine items with the Inspector General (IG), Deputy Inspector General (DIG), Assistant Inspectors General, as well as the staff of other key officials within the Department or other Federal agencies.
  • Researches and prepares briefs as necessary. Arranges briefings by appropriate officers and ensures the DIG is thoroughly prepared for all meetings, appointments, and presentations.
  • Performs a wide variety of complex and highly responsible office administrative, secretarial, and programmatic support functions to include routing incoming mail, photocopying, faxing, tasking incoming actions at the direction of the DIG, monitoring assigned actions, ensuring timely responses, coordinating logístical support, and preparing and mailing correspondence. Arranges travel for personnel, as necessary.
  • Drafts and provides the Executive Office with appropriate briefing notes and matters to be considered for meetings.
  • Serves as the scheduler to the DIG and is responsible for efficient and effective meeting management to include establishing appointment priorities, rescheduling, or refusing appointments, coordinating with visitor's schedule, ensuring building access, escorting visitors, establishing time limits, time blocks, etc. Notes commitments made by the DIG during meetings and arranges for staff implementation of these commitments.
  • Serves as the liaison between senior ranking government officials and the DIG.
  • Uses sound judgment to determine the approach or action to take in nonroutine situations.
  • Advises OIG personnel on new procedures and requests information required for meetings, reports, or conferences.
  • Maintains action item database and informs the DIG of upcoming matters for further attention.
  • Drafts documents requiring an understanding of technical matters and Department policies for approval by the DIG or OIG personnel.
  • Conducts research, information gathering, and summarizes information to ensure pertinent data is available for DIG's analysis.
  • Reviews and prepares correspondence for the DIG's signature.
  • Coordinates and confirms travel arrangements and the submission of travel expense claims.
  • Prepares special reports and performs special projects that may require researching, gathering, and organizing information from a variety of senior level sources.
  • Contacts or responds to contact from highranking officials within or outside the Department, members of Congress, and private organizations. Many of these individuals may be working internationally or be in unique situations. The officials may be relatively inaccessible, and each contact must be handled differently, using judgment and discretion.
  • Keeps the DIG informed of important matters that should be brought to his/her attention.

Knowledge, Skills & Abilities

  • SECRET Level Clearance.
  • Knowledge of policies, procedures, practices, and regulations which govern office support and administration and social event planning.
  • Ability to write clearly, to edit effectively, and to provide logical and meaningful recommendations concerning management and program effectiveness.
  • Ability to interpret information and make decisions using professional standards and management practices often in challenging circumstances.
  • Capable of discussing major and significant OIG Front Office policies, programs, and operations with senior officials.
  • Ability to communicate clearly, tactfully, and effectively with senior staff officials, as well as other top officials with federal agencies, congressional staff, and the private sector.
  • Ability to perform a full range of highly varied complex, sensitive, and highly responsible administrative, clerical, and programmatic support functions of a general or specialized nature in support of assigned duties.
  • Demonstrated understanding of the DOS, USAGM, and IBWC's organizations and operations.
  • Strong ability to research, compile, analyze, and interpret data.
  • Must have at least 12 months experience:
