General Summary:

Provides comprehensive administrative support for Director of Sales. Additionally, Sales Coordinator will provide clerical and business support for Guest Sales and Retail Sales by managing key work processes and administrative duties including, but not limited to, securing payment for group reservations, sales reporting and tracking, managing client email communications and any additional duties as assigned by the Director of Sales.

Essential Duties and Responsibilities:

Guest Sales
  • Handle office tasks, such as filing, generating reports and presentations, setting up for meetings and reordering supplies.
  • Assist Sales team with collection duties, which includes generating an expected arrival report, collecting payments for future reservations for groups, outreach and virtual programming. Update system with all appropriate notes regarding correspondence with contacts. Process payments and provide standard documentation to the accounting department.
  • Act as community relations liaison for ticket donation requests through digital correspondence and arrange pick up or delivery. Maintain log of comped admission tickets.
  • Assist the sales staff by professionally directing the flow of information and traffic in the office including phone calls, appointments and inquiries and interdepartmental communications.
  • Manage email inbox for Discovery Place website Info Box by responding or forwarding as appropriate.
  • Interact on a daily basis with the Sales Manager, in support of the Director of Sales.
  • Be a team player and perform other related duties and responsibilities as required or assigned that contribute to team effort.
Retail Sales
  • Compile weekly, monthly, quarterly, and annual sales reports through POS (altru), Excel or other software.
  • Submit and prepare invoices for payment, data entry and reconciliation for all vendors and inter-company retail expenses.
  • Verify inventory levels with data entry verification and returns accountability. Ensure distribution between museums is updated into POS system.
  • Partner with area manager -retail and vendors to follow-up on open purchase orders and track undelivered inventory.
  • Perform special assignments when necessary, including, but not limited to, retail exhibit related displays, seasonal pricing, and promotions.

  • One year of experience in Museum atmosphere.
  • Ability to analyze data and utilize the information to inform decision-making.
  • Proficiency in all Microsoft office suite applications.
  • Ability to work both as a team member and autonomously in a fast-paced, deadline-driven, results-oriented environment.
