The Position Overview:

As the Event Planning Manager, you will embody the ideology of the Miraval wellbeing brand, being a proficient professional with expertise in events and hotel operations.

The Event Planning Manager is tasked with meticulously organizing and executing all facets of designated group events from agreement to on-site execution. This individual collaborates with all resort departments to ensure the seamless execution of contracted retreats and mindful gatherings. For resorts hosting mindful weddings, this role also contributes to their success. The Event Planning Manager immerses groups in the Miraval experience, offering premier revenue-driven culinary, programming, and spa alternatives.

Under the supervision of the Group Sales & Events Director, this role is a full-time salaried position situated at the resort.

Key Responsibilities:
  • Acts as the main point of contact for all group affairs at Miraval and effectively coordinates events to ensure guest experiences align with expectations.
  • Drives revenue by educating and promoting engaging Miraval Experiences that embody our core principles, particularly meetings, exclusive meals, and programs.
  • Ensures the delivery of event services adheres to established quality standards and meets all relevant regulations and criteria.
  • Coordinates hotel spaces, develops and circulates schedules and notifications to keep guests, attendees, and hotel staff informed about all group events, including programs.
  • Interacts with clients daily on-site and facilitates all staff introductions.
  • Keeps abreast of competitors' latest activity trends and program offerings as well as guest preferences.
  • Daily tasks include, but are not limited to, conducting property tours, crafting catering and sales portfolios (resumes), outlining all group events in Envision, planning and conducting pre-cons as needed, coordinating AV and other meeting requirements, creating materials and menus, and liaising with team members to ensure seamless event execution.
  • Executes all tasks and services in accordance with policies, protocols, guidelines, training, ethical codes, recognized best practices, workplace safety laws, and regulations.
  • Demonstrates familiarity with all hotel amenities/features and local attractions/activities to address guest inquiries. Manages rooming lists, cut-off dates, and attrition calculations in collaboration with the Sales & Events Coordinator.
  • Oversees the final group bill, deposits, final payments, including World of Hyatt points and commissions.
  • Prioritizes and follows through on all job-related responsibilities.
  • Accurately processes banquet charges for accounting purposes.
  • Assists the sales team in arranging local sales trips or FAMS.
  • Identifies vendors for meeting services not available in the Miraval inventory, complying with standard operating procedures.
  • Conducts post-event follow-ups.
  • Assists/Conducts feedback sessions timely for the Sales & Events Coordinator role.
  • Exhibits a positive demeanor and greets guests warmly and cordially.
Requirements:
To excel in this role:

  • Possess a university degree or diploma in Sales, Marketing, Hospitality, or Tourism Management, or equivalent industry experience
  • Have prior experience in hotel event management or a similar field
  • Minimum of 3 years' experience within a 4-5-star hotel sales setting
  • Recognize that the Miraval client base may differ from traditional hotels in terms of target demographics, group size, and visit objectives
  • Demonstrate excellent emotional intelligence
  • Function effectively as a team player within the Sales Department and the broader hotel context
  • Easily adapt to changes in policies, procedures, and work environments
  • Create comprehensive event orders to convey event setups, AV needs, F&B requirements, and programming
  • Understand how to communicate event needs through a group resume effectively
  • Manage event orders, group resumes, and their distribution to service teams proficiently
  • Have experience conducting and planning site tours and visits
