SUMMARY

This position is responsible for supervising the activities of accounting staffs, performing high-level accounting functions and supporting the Accounting Manager in managing the day-to-day operations of the department.


ESSENTIAL JOB FUNCTION
Primary Job Functions 70%
1.

Supporting Accounting Manager and Departmental Operations

Supports the Operations Department and Accounting Manager to ensure smooth process

Supports the Operations Department and Accounting Manager to complete the payments and billing activities related to logistics operations

Supports the Accounting Manager to ensure that all general ledger accounting functions as well as month-end, quarter-end and year-end close responsibilities are completed timely for all accounting teams through collaborating and communicating deadlines

Assists with the confirmation of sales revenue

Follows USA GAAP and operational compliance requirements as necessary

Manages and reports cash flow, bank transaction, and cash disbursement to management

Performs audit correspondence

  • Coordinates Accounts Payable/Receivable Functions
Coordinates accounts payable and accounts receivable functions

Ensures the accuracy of work performed by subordinate staff

Delegates assignments for accounts receivables

Reviews accounting system transaction

Reports accounts receivable, accounts payable, and exchange rate as company rate weekly

Troubleshoots all accounting problems in a timely manner.

  • Performs Accounting Functions
Analyzes accounting records to ensure that accounting functions are performed according to the Company's needs and strategy

Prepares accounts and records for Management

Compiles records of present and past operations, trends and costs

Compiles budgeting data to measure the Company's activities

Provides recommendations to Management

  • Supervises staff
Provides direction and delegates tasks to subordinate staff

Reviews the staff's completed works for quality and accuracy

Trains staffs to increase productivity as necessary

Provides subordinates with regular feedback

Secondary Job Functions 20%

  • Keeps Manager and Management Informed
Participates in meetings

Reports problems to Manager and/or Management verbally or in writing to avoid confusion and further problems

Recommends changes for improvements in the Department functions to Manager

  • Ensures Accounting Requirements and Corporate Practices
Ensures that Company complies with federal, state, and local accounting regulations and requirements as necessary

Ensures staff and manager of the other department understand and follow internal accounting standard practice and policies (Credit Risk Management, Basis for Recording Sales, Expenses, etc.)

Studies existing and new regulations applicable for Company

Complies with other accounting and general administration related regulations as they arise.

  • Ensures the Management of Sensitive Information
Follows all Company practices and policies regarding confidentiality

Maintains secure transmission and storage of sensitive Company information

Avoids or identifies conflicts-of-interest and notifies Management

Performs any other general actions needed to protect the Company's confidential information.

Essential Job Requirements:
Physical Requirements and Working Environment

  • Physical Requirements
While performing the duties of this job, the Staff Member is regularly required to sit and talk or hear.

The staff member is occasionally required to stand, walk, use hands to pick-up, handle or feel, and reach with hands and arms.

The staff member must occasionally lift and/or move up to 10 pounds.

This position requires vision abilities such as close vision and the ability to adjust focus.

Working Environment

The noise level in the work environment is usually moderate (i.e. working in a business office with computers, printers, and telephones) and occasionally noisy (i.e. working in a warehouse environment with various equipment, machinery and trucks).

The Staff Member may be required to work beyond normal business hours when necessary.

Experience/Minimum Qualifications Needed

  • Language Skills
Ability to read and interpret general business documents, forms and instructions in English and Japanese

Ability to write reports, business correspondence in English and Japanese

Ability to effectively respond to questions from Management, Managers, Staff, clients, and the general public in English and Japanese

Ability to communicate verbally in English and Japanese and in writing to individuals and groups in English and Japanese

Ability to effectively deliver presentations to Managers, Staff, clients, and the general public in English and Japanese.

  • Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

Ability to apply concepts of basic algebra and geometry and to draw and interpret bar graphs.

Reasoning Skills

Ability to apply knowledge and sense of understanding to carry-out detailed written or oral instructions

Ability to deal with problems involving several concrete variables in situations where only limited standardization exists

Ability to analyze information, use various documents (contracts, purchase orders, etc.) and organize procedures, manuals or reports.

  • Computer Skills


Ability to use a computer and such applications as Microsoft Windows, Word, Excel, and Outlook and be able to design custom reports as necessary.

Ability to use Company's Database program for Logistics Operations and Accounting Software

Ability to deal with internal IT System to update information.

Must have in-depth knowledge of accounting practices and principles.

Must have supervisory skills and managerial experience.

Must be tactful, mature, flexible and able to successfully respond to multiple work pressures.

Education

Bachelor's degree or equivalent from four-year college or university in accounting, finance or related field.

Three to six years of related experience and/or training; or equivalent combination of education and experience.
