POSITION PURPOSE
Responsible for supervising a team and directing workflow for all department activities through an integrated workplace management system (IWMS).

Provides support for building administration, building projects, office services, real estate, space management, move management, asset management, service request coordination, purchasing and supply management, inventory management, fulfillment, distribution services, and vendor management activities.


ESSENTIAL FUNCTIONS AND BASIC DUTIES

  • Manages the workflow of all department activities through a team of Facilities Coordinators, contracted vendors, vendor managed services, landlords, and in-house maintenance technicians.
  • Manages and oversees fixed asset management program including furniture, equipment, signage, fleet vehicles, etc.
  • Responsible for inventory management, warehousing, fulfillment, and distribution services to meet requirements for bank operations.
  • Demonstrates continuous efforts to improve efficiencies and works collaboratively to provide a high level of client service.
  • Coordinates communications and outreach to internal clients, landlords, vendors, suppliers, and contractors.
  • Works with appropriate resources to schedule ergonomic assessments; ensures recommendations are implemented and products installed.
  • Assists in implementing cost controls for the department and monitors expenses to ensure compliance with budget.
  • Coordinates multiple vendor relationships, develops, and analyzes price and supply data to ensure continuity of goods and services required to support the bank.
  • Responsible for processing invoices, statements, and contract billing with manager approval.
  • Communicates directly with business lines and external vendors to clarify requirements, present research findings, or provide updates on the status of ongoing work.
  • Represent the department in meetings to support and facilitate communication and action between business units.
  • Maintains good vendor relationships with vendors related to commercial printing, office supplies, furniture, equipment, food services, shredding services, landscaping, and janitorial services.
  • Assists in all aspects of Facilities Management as needed with minimal instructions.
  • Coordinate with 'home' banking center projects and needs.
  • Other duties as assigned.

QUALIFICATIONS

Education/Certification:
Bachelor's degree or equivalent work experience.

Experience Required:


Three to five years of experience in managing support functions required, including but not limited to facilities, purchasing or construction management.

Able to work effectively and efficiently towards goals in a complex, diverse environment with multiple changing demands.

Required Knowledge:
Thorough understanding of project management phases, techniques, and tools.

Skills/Abilities:
Ability to read, analyze and interpret industry periodicals, policy and procedure manuals and compliance manuals.

Effectively present information and respond to questions from clients and public, as well as compose effective correspondence in a professional manner.

Solid financial, quantitative, analytical, problem solving, research and documentation skills.

Versatile self-starter with ability to deliver results and adapt to change.

Ability to analyze and solve problems that deal with a variety of variables.

Ability to interpret instructions given in written and oral form.

Proficiency with MS suite of products including PowerPoint, Excel; Word and Outlook are required.

PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION
Ability to withstand moderate physical activity throughout the workday (standing, walking, reaching)

Ability to sit for extended periods of time

Ability to lift or move up to 50 pounds on occasion

Ability to maintain attention and concentration for extended periods of time

Reasoning Ability:

Able to perform very simple algebra.

Language Ability:
Ability to read a variety of books, magazines, instruction manuals, atlases, and encyclopedias.

Ability to prepare memos, reports, and essays using proper punctuation, spelling, and grammar.


Ability to communicate distinctly with appropriate pauses and emphasis, correct pronunciation (or sign equivalent), and variation in word order using present, perfect, and future tenses.
