Job Title: Marketing Coordinator at Castle Group

Description: The Marketing Coordinator role at Castle Group involves providing administrative support for marketing and sales activities. This position requires a mix of organizational skills, creativity, and a keen eye for detail while upholding the values and mission of the company.

Responsibilities:

  • Administrative Coordination
    • Handle meeting coordination tasks such as room bookings, calendar invitations, Zoom setups, and more.
    • Take and distribute minutes for meetings.
    • Organize weekly huddle calls and ensure accurate minutes.
    • Coordinate onboarding tasks and training for new team members.
    • Provide support for sales presentations.
    • Update quarterly sales reference sheets.
    • Manage new business referral drawing and company-wide headshot requests.
    • Offer ad hoc administrative support as needed.
  • Business Development Support
    • Update the annual planning calendar for business development.
    • Manage membership and sponsorship renewals.
    • Support sales team with proposals quality checking and submissions.
    • Assist in home office tours coordination.
    • Screen and direct website leads appropriately.
  • Promotional Item Fulfillment
    • Oversee fulfillment of promotional item requests and manage inventory.
    • Conduct quarterly inventory checks and reorder items as needed.
  • Marketing and Event Support
    • Assist in event preparation by collecting marketing collateral and supplies.
    • Coordinate review payouts effectively.

Qualifications:

Education and Experience

  • Bachelor's degree in Marketing, Business Administration, or related field.
  • Prior experience in an administrative or similar role.
  • Strong attention to detail, problem-solving, and communication skills.
  • Ability to work efficiently under tight deadlines.
  • Proficiency in Microsoft Office Suite.
  • Experience with project management software is a plus.

  • Ability to prioritize tasks effectively and manage time efficiently.

Physical Requirements:

  • This position is office-based with a potential for one remote day per week after 90 days.
  • Ability to lift 50lbs following safety guidelines.
  • Use fingers for typing and visual computer use.
  • Handle, grasp, and feel objects.
  • Reach and repeat motions with hands and fingers.
  • Ability to respond appropriately to verbal requests and work extended hours if needed.
  • Valid Driver's License required.
