Job Description Job Description Rental Car Coordinator is responsible for making sure rental vehicles are prepared for rent, customer interaction, filling out rental contracts completely, inspecting vehicles both when they are rented and returned, closing out the contracts, and ensuring payment is collected when needed.

REQUIREMENTS AND QUALIFICATIONSHigh school diploma or equivalentProficient in Microsoft Office, and data entry experienceMulti-line telephone experienceProfessional appearance and dispositionFluent in the English languageStrong listening, and accurate notes taking skillsExcellent verbal and written communication skillsMust be able to convey messages to employees clearly and quicklyDetail orientedProblem solverOutstanding customer service skillsMust be a team player, self-motivatedAbility to multi-taskDUTIES AND RESPONSIBILITIESHandle telephone inquiries regarding work in process and appointments and return phone messagesEfficiently communicate with callers, minimizing the time they are put on holdEnsure all invoice totals and receipts are accurateHave every repair order & credit card receipt signed by the customer at the time of paymentAnswer customers' questions pertaining to the invoice with honesty and integrityEnsure that customer complaints are handled promptly, with genuine concern and according to OGARAs guidelinesUpdate customer information in the system as necessaryEstablish excellent working relationships with customersProperly create loaner car agreements ensuring that clients provide current driver's license, current insurance, and valid credit cardProperly creates loaner car agreements ensuring that clients provide current driver's license, current insurance and valid credit cardProvide client with explanations about potential charges that can arise from using our loaner vehicleProvide a seamless handoff of the loaner vehicle to the client explaining the walkaround sheet, the vehicle itself and what is expected upon their return to OGARACreate repair orders to charge clients for toll road violations, parking tickets or damage to vehicleCheck loaner vehicles for recalls or updates and create repair orders to get work accomplishedDaily check on existing inventory for compliance of our standards such as full tank of gas, cleanliness of vehicle and damageCheck-in vehicles as they come in from finished clients.

Go over vehicle for possible damage, non compliance with fuel levels at the time of checkout, excessive miles and cleanlinessEnsure returned vehicles are washed, fueled and ready to go within a 2-hour period of initial returnReport to management any situation or condition that jeopardizes the safety, welfare or integrity of OGARA, its personnel or customersEnsure warranty claims are processed accurately and promptlyPrioritize work to ensure all deadlines are metMaintains timely and professional contact with customers and employeesMaintains an organizedPrepares estimates when requiredMaintains high customer satisfaction ratingsComply with all federal, state and local laws, as well as OGARAs policy, regarding safeguarding customers' vehicles, property, and informationPerform other job-related duties as assigned by management
