Assistant Real Estate Manager

- Assist in administration activities including tenant contacts and insurance information and generate corresponding reports.
- Prepare and coordinate bid proposals, service contracts and approved invoices. Assist in bidding process and supporting Real Estate Manager to ensure compliance with policies and procedures.
- Code inovices according to budget for Real Estate Manager's approval.
- Track and file vendor contracts and insurance certificates; maintain follow-up system for expirations.
- Monitor and maintain the property maintenance work order system.
- Maintain lease, contract and operational files within the management office.
- Promote and foster positive relationships with tenants and owners.
- Process maintenance staff hours, tenant bill back invoices through Accounting, expense reports, monthly meter readings of properties, and check requests for review and approval.
- Partnering with Regional Manager to resolve tenant problems and communicate action plan for resolution, building relationships that create tenant satisfaction specific to the property and to ensure tenants comply and fully understand building operating policies.
- Support Regional Manager in various accounting-related tasks, including annual budget preparation and CAM Reconciliations, as well as the preparation, analysis and reporting of monthly financials.
- Assists in handling any emergency that may arise with building, property, tenants, or ownership.
- Provide full administrative support, including phone support, typing reports, filing, and distribution of correspondence.
- Schedule and coordinate meetings/special events as requested.
- Reviews tenant delinquencies and contacts tenants regarding delinquencies.
- Ad hoc projects as needed.
Education:
- High School Diploma - Required
- 3+ years experience in property management experience - Required
- Intermediate computer skills, utilizing Microsoft Office Suite, Excel, Adobe Acrobat
- Experience with Yardi, MRI, or accounting softwares
- Strong organizational skills with an ability to prioritize
- Ability to give and take direction and to collaborate with decision makers in a professional manner and maintain confidential information.
- Superior interpersonal skills, ability to interface with a variety of personalities with professionalism.
- Proven record of providing excellent internal and external customer service.
- Ability to read, analyze and interpret general business periodicals, professional journals, or governmental regulations.
- Ability to write business correspondence, demonstrating business acumen.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
- Detail oriented, able to handle multiple projects simultaneously, extremely professional, and customer service oriented.
- Must be able to thrive in a fast-paced environment and be able to multitask
- Positive can-do attitude
- Real Estate License - Preferred
- Compensation: $55, ,000 / year
