Job Title:

9-month Bilingual Secretary

Job Summary:


The School Secretary position ensures the smooth and efficient operation of the office so that the office's maximum positive impact on the education of students can be realized and provides assistance to administrators, school staff, students, and the community.


Qualifications:

High School Diploma or equivalent

Bilingual Preferred

Evaluation:

Performance of this job will be evaluated in accordance with provisions of the Board's policy on Evaluation of Staff.

Terms of Employment:

This is a 9-month position. Salary and benefits as established by the Board of Education.

Duties and Responsibilities:

  • Focuses on customer service, creating a positive climate of respect and trust.
  • Works well within a learning community, including students, parents, teachers, administrators, and the community.
  • Maintains confidentiality and integrity in handling information and documents.
  • Demonstrates ethical behavior and confidentiality of information about students and staff in the school environment and community.
  • Performs office routines and practices associated with a busy, productive, and smoothly run office.
  • Performs any and all office duties, which may include:
a. Answering telephone and directing callers to the appropriate person/department
b. Handling inquiries from the general public, parents, teachers, and students
c. Operating office machines
d. Preparing, typing, and duplicating materials
e. Assisting in the preparation of reports and written correspondence
f. Organizing and maintaining appropriate files
g. Sorting of mail, both incoming and outgoing
h. Assisting in keeping school attendance reports and records

  • Participates successfully in professional learning opportunities available to increase skill and proficiency related to the assignment.
  • Creates and distributes daily reports, bulletins, parent newsletters, newspaper releases, and attendance information.
  • Assists in arrangements for meetings and conferences conducted.
  • Maintains weekly payroll records and submits reports accordingly.
  • Assists in staffing and attendance procedures.
  • Creates and processes purchase orders for the building.
  • Assumes other duties for which the individual qualifies as assigned by the administrator or designated representative.

Physical Demands:

The physical demands of this position include frequent sitting and standing for extended periods of time. Employees may reach overhead, above the shoulders, and horizontally.
