Position Overview:


We are seeking a highly organized and personable individual to join our team as an Office Manager with Receptionist Duties.

This role is pivotal in ensuring the smooth operation of our clinic by managing administrative tasks, overseeing office procedures, and providing exceptional customer service to our clients.


Responsibilities:

Front Desk Management:

  • Greet clients and visitors with a warm and welcoming demeanor.
  • Manage incoming calls, emails, and inquiries, providing accurate information or directing them to the appropriate staff member.
  • Schedule appointments, coordinate consultations, and manage the clinic's booking system efficiently.
  • Maintain a tidy and organized reception area, ensuring a professional and inviting atmosphere.

Administrative Support:

  • Oversee daily administrative tasks, including filing, data entry, and correspondence.
  • Manage office supplies inventory and place orders as needed to ensure uninterrupted operations.
  • Assist in the preparation of client intake forms, consent forms, and other documentation as required.
  • Coordinate with staff to ensure seamless communication and workflow between different departments.

Financial Management:

  • Assist in processing client payments, and invoices.

Client Relations:

  • Build strong relationships with clients, addressing their inquiries and concerns promptly and professionally.
  • Provide information about our services, packages, and promotions to clients, promoting a positive client experience.
  • Follow up with clients to gather feedback and ensure their satisfaction with our services.

Office Operations:

  • Oversee the general maintenance of the office, including coordinating repairs and maintenance services when necessary.
  • Implement and enforce office policies and procedures to ensure compliance with regulatory standards and best practices.
  • Identify opportunities for process improvements and contribute to the overall efficiency of clinic operations.

Qualifications:

  • Proven experience in office management, administration, or a related field.
  • Exceptional organizational and multitasking abilities, with keen attention to detail.
  • Strong interpersonal and communication skills, with the ability to interact professionally with clients and colleagues.
  • Proficiency in using office software and applications and appointment scheduling systems.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Knowledge of basic accounting principles and experience with financial transactions is preferred.
*Bachlors degree preferred
