JOB SUMMARY AND ACCOUNTABILITIES:


This position is accountable for attending to visitors and dealing with inquires on the phone and face to face; supplying accurate information regarding the organization to the general public, clients and customers.

This position is also accountable for routine administrative functions for which accuracy and attention to detail are imperative.

ESSENTIAL FUNCTIONS:

I. Greet guests and provide information as requested, answer telephones, assist with Estate questions screen and direct calls, take and relay messages, maintain the leads database, schedule wedding tour appointments, Veranda reservations and wedding payments (Top Priority), confirm all tours and rsvp's two days prior to event date

II.

Perform greeter duties such as:

collecting admission fees and supplying visitors with garden guides, admission stickers and directing them to the gardens. Maintain an accurate tracking of visitors, ensure accurate use of Groupon tickets and collect their contact information for follow-up communications; for restaurant visitors: checking reservations and communicating with the restaurant for seating when applicable

III. Maintain an accurate "Open table" calendar in conjunction with the Veranda RSVP schedule

IV. Support restaurant staff by completing picnic basket and box lunch orders and support Event Coordinators by taking payments for events

V. Keep rack cards and paper menus fully stocked, light candles before wedding tours and keep reception area and sales office (rack cards, photo books etc.) orderly, perform checks on areas throughout the day

VI. Perform opening and closing duties, turn on/off air conditioners and any other job tasks that may arise

QUALIFICATION STANDARDS:

I. Minimum of a high school diploma or GED, or 5 years' experience of hospitality service or related experience.

II. Ability to work under deadlines and prioritize work schedule to meet deadlines

III. Must be able to work well with all levels of employees and customers.

IV. Requires a high level of interpersonal and communication skills.

V.

Ability to perform functions using various equipment and software such as computers, data entry, MC Excel, MS Word, MS Access, etc.

VI. Ability to execute assigned work accurately, including collaboration with all staff

VII. Must have high level of integrity and professionalism. Work requires the ability to cheerfully communicate with customers to provide an environment that is welcoming and friendly. Expert knowledge of customer service principles and practices.

VIII. Requires a high degree of organizational skills as well as a self-starting ability.

IX. Ability to remain flexible and provide open communication to Management

X. Knowledge of administrative and clerical procedures

XI.

Knowledge of Grand Tradition product and service offerings in order to clearly and accurately communicate with potential customers the value of such products and services.

XII.

Thorough knowledge of department policies, practices, operations, and oral communication skills to perform routine administrative duties such as arranging meetings, responding to routine inquiries from telephone callers or visitors, and gathering background information for routine reports.

XIII.

Ability to analyze routine administrative details of limited complexity such as resolving minor scheduling conflicts of tours or reservations, assignment of event coordinator events and other conflicts.

XIV. Professional personal presentation as stated in company policy manual.

PHYSICAL STANDARDS:

I. Must be able to sit for long periods of time.

II. Must be able to talk clearly and hear responses.

III. Must have the ability to receive detailed information through hearing and to make discriminations in sound.

IV. Must be able to stand, walk, crouch, and climb stairs.

V. Must be able to reach, grasp and finger objects and operate business equipment.

VI. Manual dexterity required for keyboard functions, and repetitive motions.

VII. Minimum visual acuity requirements include reading numbers, printed instructions and video display terminals.

VIII. Must be able to visually identify distinct colors.

IX.

Must be able to exert weights of up to ten (10) pounds of force on an occasional basis, and a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.

X. Employee is not substantially exposed to adverse environmental conditions.
