Job Title: HVAC Dispatcher

Overview:

We are seeking a motivated Junior commercial and residential HVAC Field Scheduler to join our team. In this role, you will play a crucial part in coordinating and scheduling HVAC technicians for service calls, installations, and maintenance tasks. Your primary responsibility will be to ensure efficient utilization of resources, timely completion of projects, and exceptional customer satisfaction. This position offers an excellent opportunity for growth and development in the HVAC industry.

Key Responsibilities:

1. Schedule Coordination: Efficiently schedule HVAC technicians for service appointments, installations, and preventive maintenance tasks.

2. Resource Allocation: Allocate resources effectively to ensure optimal utilization of technician skills and availability.

3. Customer Communication: Communicate with customers to schedule appointments, provide updates on technician arrival times, and address any concerns or questions.

4. Dispatch Support: Provide support to the dispatch team by organizing and prioritizing service requests based on urgency and customer needs.

5. Documentation: Maintain accurate records of scheduled appointments, job details, and technician availability using scheduling software or spreadsheets.

6. Problem Solving: Proactively identify scheduling conflicts or challenges and work with team members to find timely solutions.

7. Quality Assurance: Ensure that all scheduled appointments are completed on time and meet quality standards, following up with technicians and customers as needed.

8. Team Collaboration: Collaborate with HVAC technicians, dispatchers, and other team members to streamline scheduling processes and improve overall efficiency.

9. Continuous Improvement: Contribute ideas and suggestions for improving scheduling procedures, customer service, and team performance.

10. Adherence to Policies: Adhere to company policies, safety guidelines, and industry regulations at all times.

Qualifications:

1. Education: High school diploma or equivalent. Additional training or certification in HVAC or scheduling software is a plus.

2. Experience: Prior experience in a scheduling or administrative role is preferred. Experience in the HVAC industry or a related field is advantageous but not required.

3. Organizational Skills: Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities simultaneously.

4. Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with customers, technicians, and team members.

5. Problem-Solving Abilities: Effective problem-solving and decision-making skills, with the ability to think quickly and adapt to changing priorities.
