WEEKLY COMMITMENT:
40 hours per week on a full-time basis, including some on-call rotations.

REPORTING TO:
Supervisor: Director of Missouri Slope at Home

MAIN RESPONSIBILITIES:


Manage the entry of new employees and clients into the Missouri Slope at Homes software system. Organize schedules for staff and assigned clients based on client agreements.

Offer administrative support for the At Home program. Act as the initial contact for all visitors, potential clients, and other guests.

Assist the Service Manager and Director in various administrative tasks efficiently and professionally. Handle all incoming calls. Draft different correspondence and documents utilizing Microsoft Office, Outlook, and database software. Take part in meal delivery, share on-call responsibilities, and offer substitute services as required.

QUALIFICATIONS:
Candidates must be 18 years or older

Educational Requirement:
Must hold a high school diploma or equivalent,
Minimum of one year experience in scheduling, administrative support, or a health-related field.
Keen attention to detail and excellent organizational abilities: proficient in public speaking and leading discussions before small groups.
Capable of working independently and collaboratively.

Preference given to candidates with previous experience with older adults as a Personal Care Attendant (PCA) or CNA (Certified Nurse Aide).

Must meet or obtain competency standards for a QSP in North Dakota.
Active Driver's License with a clean record and automotive insurance mandatory.

SKILLS & COMPETENCIES:


Excellent verbal, written, and organizational skills, able to effectively interact and communicate with a diverse range of individuals from different socio-economic backgrounds, including seniors, persons with special needs, and individuals requiring memory care support.

Capable of working with minimal supervision and managing workflows effectively.
Ability to make independent decisions when necessary. Must have good eyesight for detailed paperwork and frequent computer use.
Proficient in all PCA/QSP duties.
Adept at communicating through various technologies.
Computer literacy and experience with Microsoft Office, Outlook, and electronic records

ESSENTIAL DUTIES:
Answering incoming calls and welcoming visitors, addressing queries and directing them to the appropriate individual
Keeping an updated roster of At Home personnel and staff
Collecting and organizing At Home mail; redirecting general mailbox emails to relevant staff
Responsible for inventory management and notifying relevant staff
Recording all lead calls and sending details to the Service Manager
Registering all new clients as directed by the Service Manager and coordinating client/staff schedules Reassigning staff/clients as necessary and filling in hours when required
Informing Service Manager of any additional staffing requirements
Providing input on annual assessments for At Home staff concerning schedule adherence
Creating and managing hard copies of client information, and completing all filing as needed
Relaying service-related calls to the service manager or Director
Training staff and resolving issues related to data management applications

Service Delivery:
Ensuring essential client benefits are established and/or accessible.

These services include but are not restricted to; coordination and referrals as needed, health and wellness checks, transportation, companionship, respite, and other elective services like personal care, housekeeping, emergency response services, and meal provision.


Safety Checks:
Ensuring each client is reached at their scheduled time. Observing any unusual indicators and verifying the client's status. Taking appropriate action in case of irregularities.

Companion Services / Personal Care / Housekeeping / Transportation service


Arranging and providing all home services or offering companionship to elderly individuals who reside alone based on an established schedule.


ADDITIONAL RESPONSIBILITIES:
Meals

Scheduling Coordinator will offer details on meal delivery and accept meal orders from new clients.

Personal Care:


Scheduling Coordinator will schedule or provide personal care/activities of daily living (ADL's) for clients opting for this service, and ensuring proper personal care products are available for the clients.

Assigning or overseeing any ADL requirements for clients as needed.

Housekeeping/Homemaker Service:


Scheduling Coordinator will schedule or provide housekeeping and homemaker services (cleaning, laundry, etc.) for clients choosing this service.

Ensuring the availability of appropriate cleaning products for proper maintenance.

Transportation:
Scheduling Coordinator may arrange transportation for clients or participate in driving rotations for meal delivery routes.

PHYSICAL REQUIREMENTS:


The Scheduling Coordinator/Admin Assistant will frequently sit at a computer, stand, and use various motor functions to attend to client needs.

This includes reaching, stooping, kneeling, bending, squatting, or crawling, and fluency in English. Must be able to carry out all tasks of a Personal Care Attendant (QSP) when required to fill in.

The Service Coordinator must be able to perform physical tasks, such as lifting up to 25 pounds regularly and up to 50 pounds occasionally, standing for extended periods, climbing ladders, comfortable with heights, pushing, pulling, lifting, walking, and bending.

Should be at ease with driving clients in a personal or company vehicle.

WORK ENVIRONMENT:


The Scheduling Coordinator/Admin Assistant will conduct tasks predominantly in an office environment sitting sedentarily, and occasionally at a client's residence.

Capable of traveling to client's homes and accompanying/driving clients outside the home. May be required to work close to clients and wear protective gear, such as gloves and masks.

Exposure to hazardous materials like bloodborne pathogens or household chemicals may occur, necessitating knowledge of basic chemical safety and infection prevention.

Possible exposure to plants, animals, dust, and other allergens in the surroundings.
