Job Title: Accounts Receivable/Collections Specialist

Position Summary

The Accounts Receivable/Collections Specialist will be responsible for managing the company's outstanding invoices, ensuring timely collection of payments, and maintaining accurate records. This position requires strong attention to detail, excellent communication skills, and the ability to work independently and collaboratively within the finance team.

Key Responsibilities
  • Manage Accounts Receivable: Monitor and maintain the accounts receivable aging report, ensuring timely payment of invoices.
  • Collections: Contact clients regarding overdue invoices, negotiate payment terms, and resolve any payment disputes or issues.
  • Billing & Invoicing: Ensure accurate and timely invoicing, including verifying pricing, terms, and quantities with sales or production departments.
  • Customer Communication: Build and maintain positive relationships with clients, acting as the primary point of contact for accounts receivable and collections inquiries.
  • Reconciliation: Perform monthly reconciliations of accounts receivable to ensure accuracy of accounts and resolve discrepancies.
  • Documentation & Reporting: Prepare and maintain detailed records of collections activities, communications with clients, and payment arrangements.
  • Credit Management: Assist in evaluating customer creditworthiness and working with management to establish appropriate credit limits and payment terms.
  • Collaborate with Other Teams: Work closely with the sales, production, and customer service teams to resolve issues related to billing, payment, or product delivery that may impact accounts receivable.
  • Process Improvement: Continuously assess and improve accounts receivable processes to reduce delinquency and improve cash flow.
Qualifications
  • Education: High school diploma required; Associate's or Bachelor’s degree in Accounting, Finance, or a related field is preferred.
  • Experience:
    • 3+ years of experience in accounts receivable, collections, or a related finance role, preferably in a manufacturing or industrial environment.
    • Proven track record of managing collections, resolving disputes, and improving cash flow.
  • Skills:
    • Strong understanding of accounts receivable processes, billing, and collections.
    • Experience with ERP systems (e.g., SAP, Oracle, NetSuite) and proficiency in Microsoft Excel.
    • Excellent communication and negotiation skills.
    • Ability to handle sensitive customer information with discretion and professionalism.
    • Strong attention to detail and organizational skills.
  • Personal Attributes:

    • Strong problem-solving skills and a solutions-oriented approach.
    • Ability to maintain positive client relationships while enforcing company policies.
Preferred Qualifications
  • Experience in the manufacturing or distribution industry is a plus.
  • Familiarity with credit risk management and financial analysis.
