Major/Essential Functions
  • Direct administrative support to the AVP and VP for all functions to include, but not limited to, calendar schedules, budgets, travel, accounting, personnel items as related to Facilities and Safety Services. 
  • Gathers, evaluates and provides summary information, reports, etc. with assessments utilizing complex qualitative and quantitative data such as financial information, e.g institutional monthly ledger accounting reports to fulfill departmental requirements and organizational initiatives.
  • Participates in and responsible for a variety of departmental activities and requirements such as procurement, training, planning and recruitment committees.
  • Departmental lead in the preparation of annual operating budget, WEAVE reporting, SACS Accreditation documentation requirements, Joint Commission documentation requirements, and Campus Condition Index (CCI) report.
  • Assist with the monitoring and optimization of key performance metrics/scorecards including but not limited to project accounting on construction and renovation projects in support of institutionally managed work.
  • Works with Accounting, Purchasing/Payment Services, and Budget departmental personnel to ensure budget revisions, new funds, const transfers are handled, payments are completed timely and ensuring funding issues are identified and resolved quickly to avoid accounting problems.
  • Work closely with Contracting personnel to effectively maintain required maintenance contracts, coordinating RFPs as necessary and assisting FSS to sustain current vendor contracts.
  • Ability to prioritize, multi-task and meet critical deadlines.
  • Ability to work and maintain good working relationship with diverse staff at all campuses. Such as project coordinators, maintenance personnel, safety, materials management, custodial, work control, technical, administrative and executive personnel.

Preferred Qualifications
  • Ability to effectively use, learn and maintain a variety of both facility and TTUHSC Institutional software(s) and applications.
  • Current employee of TTU, TTUHSC or TTUS.
  • Experience gathering, documenting and analyzing quantitative information for decision making and planning.
  • Understanding of and ability to use State of Texas purchasing processes and guidelines.
  • Knowledge of project management to assist and prepare contracts, manage administrative projects and initiatives.
  • Knowledge and experience maintaining budgets, coordinating with various departments to achieve outcomes to include Budget, Accounting, Purchasing and Contracting.
  • Experience planning, organizing and monitoring work of other office staff while assembling organizational data of a complex nature, as well as prepare and submit required reports from such records.
