The position will provide administrative services to the Vice Presidents and Managers comprising the Legal & Compliance Department. The position requires both excellent organizational skills and the ability to manage multiple schedules.  The scope and complexity of this position requires that the assistant regularly deals with diverse subject matters.

What You’ll Be Doing:

  • Serves as a primary point of contact for VPs
  • Routinely works with information that is sensitive and confidential
  • Coordinates schedules, including managing domestic and international travel and identifying calendar issues and scheduling conflicts
  • Communicate critical deadlines, due dates, and correspondence
  • Carries out special projects and assignments as requested; research, compiles, analyzes, and prepares data for administrative reports and presentations
  • Schedules conferences, meetings, and appointments; notifies attendees, and makes necessary arrangements
  • Provide ad-hoc support to other team members
  • Prepare and process expense reports
  • Order office supplies for department
  • Order and pick up lunch for in-house lunch meetings
  • Assist with settlement agreement payouts and signature
  • Coordinate with outside legal firms on billing and payment processes and procedures
  • Process and monitor all purchase order, invoice and purchase card activity for the department to include those for legal matters and intellectual property
  • Monitor attorney CLE requirements
  • Retrieve and distribute mail for the department
  • Answer calls related to legal matters
  • Assist in processing documents for signature
  • Assist in certain department compliance activities; data gathering, data organization and maintenance, take and maintain meeting minutes and supporting project materials
  • Manage physical office space requirements for recurring and visiting team members

Position is located out of our Corporate Office in Hartsville, SC and 100% onsite

  • Proficient in using Word, PowerPoint and Excel, and other Microsoft Office Suite applications
  • Strong technological aptitude and the willingness and ability to learn new systems
  • Ability to interact with staff at all levels in a fast-paced environment while remaining professional and discreet
  • Working knowledge of operating office equipment, including printers, scanners, copy machine, etc.
  • Experience in developing processes and maintaining files and correspondence in line with record retention policies
  • Exceptional time-management and organizational skills, with a demonstrated ability to prioritize and manage multiple tasks concurrently
  • Excellent oral and written communication skills
  • Must maintain highest level of confidentiality and discretion

Compensation:

The annual base salary range for this role is from $46,400 to $52,200
