Job Description

PURPOSE AND SCOPE:

The Specialist III, Expense Administrator supports other staff by performing task-oriented duties while providing clerical, analytical, administrative, and/or operational support under general supervision. Assists with operations of the department as it pertains to college monies including but not limited to purchase cards, travel & expense and purchase orders.

ESSENTIAL JOB FUNCTIONS:

1. Acts as the backup workflow SME (Subject Matter Expert) Pre-Pay Auditor,

2. Completes research to help resolve system issues that are reported by end users and approvers.

3. Responsible for verifying System-wide that a variety of Expense Module transactions (such as expense reports, travel authorizations, One Card transactions, etc.) are accurately processed and reconciled.

4. Works with all users to ensure all Travel & Expense-related employee information is interfacing correctly within the Expense Module. Sets up and maintains the reviewer workflow for the Expense Module and assists as needed with workflow for other modules.

5. Performs a variety of year-end processing tasks within the Expense Module

6. Manages outstanding Accounts Payable checks and other A/P functions as needed.

7. Acts as Prepay Auditor for assigned LSC campus(s). Acting as SME, assists and provides guidance and oversight to Prepay Auditors at other campuses, helping ensure smooth and timely workflow through all Expense Module stages.

8. Responsible for a variety of Travel and Expense (T&E) functions, including but not limited to T&E adjustments, budget issues, and funds that need to be unencumbered, and account reconciliation. Acts as a resource to employees regarding T&E policies, including providing training as needed and ensuring employees understand and adhere to LSC's Travel and Expense policies.

9. Creates, runs, and utilizes a variety of queries and reports for LSC campuses and administrative offices/departments. Utilizes queries to ensure expenses are posting properly and all expenses are posted utilizing GL Subsystem reconciliation.

10. Acts as a third backup for preparing, reviewing, and reconciling a variety of journal entries, Direct Pay Requests, and general ledger accounts

11. Responsible for other reasonable related duties as assigned.

PHYSICAL ABILITIES:

The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.

WORK SCHEDULE AND CONDITIONS:

• Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment

• Interface with internal and external contacts as needed to carry out the functions of the position

• Work is performed in a climate-controlled office with minimal exposure to safety hazards

REQUIRED QUALIFICATIONS:

• High School Diploma or GED and at least 3 years of experience, or an equivalent combination of education and experience

• Experience with PC platform in programs such as Work, Excel, and PowerPoint

PREFERRED QUALIFICATIONS:

• Experience working with PeopleSoft Financial module

Salary

Hourly Pay Rate is $15.14.
