JOB PURPOSE: The Philanthropy Specialist functions as a primary administrative support for the Philanthropy and Finance teams and plays a key role in executing the organization’s fundraising. Primary responsibilities include administration of donation processing and fulfillment, including donation reconciliation and data quality assurance. This position also supports the Philanthropy team through administrative support, including prospect research. 

  PRIMARY JOB DUTIES:

75% Donation Processing & Data Quality 

Execute accurate and timely donation processing and data entry, including processing donor receipts and letters. 

Support donation processing through phone and email assistance for donor inquiries, including oversight of the Philanthropy voicemail box and Donations@ email account. 

Recognize and troubleshoot donation and data reconciliation questions or issues with the Senior Database Manager and the Accounting team. 

With Senior Database Manager, support Salesforce data integrity by updating donor records, removing duplicates, and monitoring returned mail.  

  25% Administrative Support & Prospect Research 

Administrative support for the Philanthropy team, as assigned by the Philanthropy Operations Manager, including, but not limited to, writing and drafting thank you letters and outreach email correspondence for annual fund and mid-level donor discovery and stewardship, phone calls and philanthropy voicemail management, philanthropy email inquiry management, mailing support, events support, team calendar and scheduling support, and database updates. 

Support donor pipeline growth strategy by conducting prospect research reports and evaluating recent donor prospects using iWave and other research tools.

  QUALIFICATIONS:

Required:

Enthusiasm for and positive representation of American Prairie’s mission, values, goals, and culture.

Directly related professional philanthropy experience.

Motivated, creative, detail-oriented and organized self-starter.

Strong written and verbal communication skills.

Ability to work under pressure, handle multiple projects and demonstrate time management and prioritization skills with a high level of productivity and accuracy.

Strong critical thinking skills and ability to analyze information and the relationships between information.

Ability to productively work independently and as part of a collaborative team.

Highly proficient with current technology devices and software including cloud-based software.

Highly proficient in data entry and database maintenance.  

Able to occasionally work a variable schedule, including weekends, evenings and travel as the job deliverables demand.

Preferred:

Bachelor's degree.

Experience working in membership or annual fund.

SalesForce experience.

Valid Driver’s license, acceptable driving record, and ability to drive.
