Key Responsibilities:

The Total Rewards Administrator will play a crucial role in managing and optimizing our global benefits programs. Leverage your expertise in Workday to streamline benefits administration processes, ensuring the well-being of our employees worldwide. Developand lead the administration of WVI US based staff,International Assignees (IAs) Health and some global welfare benefit programs in alignment to the Total Rewards (TR) philosophy and principles.

Provides analysis and solutions to business problems related to employee benefits and wellness programs.

Major responsibilities

Develop, plan, and lead overall design, communication and implementation of WVI benefits programs for US based employees and International Assignees. This includes health, wellness, disability, life, retirement plans, voluntary benefits, leaves and other perks:

  • Conduct benchmark and market analysis of benefits program and directs the program in alignment with WVI Total Rewards philosophy.
  • Implement employee benefits communication plan to educate and engage employees: that includes various mediums. Prepare communication materials for benefits orientations, open enrolment, etc.
  • Evaluating the costs, benefits and value of the wellness, health and welfare programmes, employee assistance, and retirement to determine employee value. Ensuring the Total Rewards mix is relevant to WV population.
  • Manage vendor relationships: manage relationships with third party providers, vendors and brokers to negotiate contracts and ensure plan compliance and service level agreements. Direct vendor, brokers and TPA input and activities in the best interest of WVI. Collaborate with Supply Chain, Procurement and other internal teams to manage contracts.

Benefits Administration:

  • Serve as subject matter expert (SME) and primary contact for employees and managers for WVIs benefits programs.
  • Coordinate and manage day to day administration of benefits programs and leave policies on the Workday platform, including: enrolments, THCO, terminations, changes, beneficiaries, leave management, retirement savings plan administration, and ad-hoc request.
  • Audit Workday enrolment data regularly to ensure the configured processes and plans are operating smoothly. Troubleshoot and address issues by working with internal Workday team members.
  • Regularly audit the Workday platform to detect any discrepancy.
  • Provide training and support to colleagues on our benefits programs.
  • Review and Payment of vendor invoices.
  • Lead continuous improvement initiatives to streamline operations.
  • Address employee inquiries regarding benefits policies and programs.

Compliance and Reporting:

  • Manage compliance program for US based staff (federal, state and local municipalities), including distribution of ACA 1095-C forms annually.
  • Ensure compliance with state and federal regulations regarding benefits (e.g. leaves, long term care, etc.). Write and distribute corresponding communications to staff as required.
  • Advise and generate regular reports to key stakeholders about global compliance regulations that impact IA benefits utilization, costs, and trends.

Total Rewards Project and Systems Management:

  • Serve as project lead for US, IA and global benefits projects and initiatives.
  • Collaborate with Payroll, HRIS and IT teams to ensure that systems meet the needs of the benefits functions for the organization such as easily accommodating changes to benefits plans, wellness programs, etc.
  • Leverage technology and other resources to enhance user experience and increase employee engagement.
  • Act as advisor and support to TR team in analysis, administration and special projects.
  • Other duties as assigned.

Required Knowledge Skills & Abilities:

  • Experience and practical application of benefits design and administration in US and mutli-national companies/organizations
  • Exceptional data analysis skills related to organizing, analysing and reporting out data
  • Demonstrated technical and conceptual understanding of employee health, welfare & wellness programs.
  • Proven experience as a Benefits Analyst, with specific experience in Workday HCM.
  • In-depth knowledge of global benefits programs, regulations, and compliance.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Detail-oriented and capable of managing multiple tasks effectively.
  • Ability to work collaboratively in a fast-paced, global environment.
  • Bachelors degree in HR, Business or equivalent field.

Preferred Knowledge Skills & Abilities:

  • Workday experience strongly preferred
  • CEBS or CBP
  • Advanced Excel knowledge and experience, Office 360, PowerBI, Sharepoint
  • Project Management experience
  • Six Sigma/Kaizen certification and experience

Compensation:

For positions filled in the United States, the typical salary range for this role is $70,755 USD to $88,444 USD. Ranges are based on various factors including the labor market, job type, job level, internal equity and budget. Exact salary offers will be determined by factors such as the candidate’s skills, qualifications, experience and geographic location.
