POSITION OVERVIEW

The Advancement Operations Associate plays a crucial role in supporting the data, gift processing, and operations functions of the Institutional Advancement (IA) team. This role is responsible for database maintenance, gift processing, donor acknowledgments, document management, and other operational tasks that contribute to the overall success of fundraising and donor relations efforts. This position reports to the Manager of Advancement Operations.

POSITION RESPONSIBILITIES/FUNCTIONS

Data Administration

  • Enter new donor, prospect, and alumnus records into the database and make updates as needed and/or requested, utilizing online tools for information not readily available.

  • Work with Advancement Operations team to create and maintain data-related process and procedure documentation.

  • Assist the Events Coordinator in entering online event registrants into the database and tracking invitee responses as they are received.

  • Continuously improve overall data quality by working with the Advancement Operations team to identify and correct data inconsistencies and inform revisions to workflows and database practices.

  • Proactively learn existing and newly released functions of the Raiser's Edge NXT database and other tools to remain at the forefront of technological advancements.

  • Assist in training staff on policies and processes, as well as the use of the database.

Gift Processing

  • Process gifts and pledge commitments received via mail, online, wire transfer, stock, etc. with accuracy, completeness, and timeliness.

  • Evaluate gift documentation, conduct research on gifts, and communicate with relevant staff before finalizing entry, when necessary.

  • Produce and send receipts, standard acknowledgements, and year-end tax statements.

  • Produce and distribute gift reports to the Accounting department to reconcile fundraising totals and gift deposits.

  • Process monthly pledge reminders.

Operations Support

  • Assist in managing electronic and hard-copy filing systems, adhering to data management policies. Scan, sort, and file documents and other materials. Perform routine maintenance on filing systems. Ensure confidentiality and security of all files and records.

  • Order and maintain mailing supplies for IA.

  • Assist with and attend Institutional Advancement events, including occasional evening and off-campus events.

  • Assist Development team with preparing and sending small mailings.

  • Serve as an ambassador for Institutional Advancement and the College, supporting our mission, and providing additional administrative support as needed.

Essential Functions

Qualifications
  • Minimum of two years of experience in a professional non-profit office environment, or equivalent.

  • Familiar with Microsoft 365 Office Suite

  • Proficiency in database administration (Raiser's Edge NXT a plus) and ability to adopt new tools and technologies.
