Job Description Summary:

Seeking an organized, motivated, and outgoing Undergraduate Student enrolled at Villanova University to join VSB Office of the Dean. Student Ambassadors will report to Bartley Hall 1045, Office the Dean under the day-to-day supervision of the Senior Administrative Assistant.

Administrative Support:

- Support the daily management of the reception desk.
- Greets, and assists visitors, unlocks classrooms and office doors.
- Answers all incoming calls to the Dean’s Office using professional telephone etiquette, records thorough messages and responds timely to inquiries and messages via a returned telephone call or email accordingly.
- Performs campus deliveries, sorts, delivers, and coordinates mailings.
- Replenishes office supplies including restocking copy machine, supply cabinets and sanitizing stations.
- Completes daily tasks and projects for improved organization and operating efficiencies as assigned.
- Assists with project management of data entry, data analysis, research, newsletters, and graphic design.

Event Support:

- Offers event support for VSB Community and VIP engagement with alumni and external guests.
- Prepares event materials and coordination.
- Attends events on behalf of the Dean’s Office as a student ambassador with the opportunity to network and forge strong business relationships.

Facility Support:

- Manages event set-up/breakdown including moving furniture, assembling food and beverage stations, and placing of event materials.
- Set-up and operate all audio-visual equipment and related multimedia equipment for events and meetings when needed.
- Ensures Bartley Hall building tasks are completed in a satisfactory manner for current and next day operations.

Requirements:

- Excellent oral and written communication skills in English.
- Work independently with minimal supervision.
- Punctual and extremely reliable.
- A team player and able to work well with others.
- Detail-oriented and diligent to follow-up and complete tasks for assigned projects.
- A positive, pleasant attitude with good problem-solving skills.
- Neat and well-groomed to represent the Dean’s Office according to calendar of events.
- Professional attire may be required for VIP tours or VSB events on occasion.
- Assists with additional tasks as assigned.
