Marketing Events Specialist

The Marketing Events Specialist is primarily responsible for planning and execution of Heartland Dental events to achieve world-class in-person, digital, and virtual brand experiences.  Essential to the role will be a keen understanding of what excites and delights our audiences, the building and maintaining of strong relationships with internal and external customers, and a deep understanding of the role events and digital marketing can play within the overall brand marketing strategy.  

This role reports directly to the Marketing Events Manager and serves as a key member within the Marketing Communication & Events team, supporting the overall company and brand goals.


Key Responsibilities:

  • Optimize the overall marketing and company goal strategies by employing innovative virtual and in-person event best practices to attract and engage select audiences.
  • Engage supported doctors and team members, prospects, and attendees by creating memorable, and meaningful, world-class experiences, including but not limited to the Hygiene Director’s Club incentive program and Heartland Dental Winter Conference
  • Initiate seamless flow of company event planning by proactively and collaboratively defining scope, adhering to pre-determined budgets, and desired results.
  • Ensure overall business goals for the event are achieved; partner with doctor, Hygiene, Campus, and affiliations business units to plan and deliver events designed to increase engagement.
  • Proactively develop timelines and  checklists to reflect the full program scope, and partner with other internal departments and parties outside the organization for execution.
  • Ensure event contracts are focused on target pricing, include appropriate space, allow for flexibility and growth, and contain optimal concessions based on program needs.
  • Establish and measure against KPIs and manage progress to achieve optimal marketing value
  • Develop and maintain quality working and collaborative relationships with internal and external customers, interacting with professionalism and respect
  • Continually research new vendors who can provide cutting-edge, innovative/creative, and highly cost-effective services that match company standards and exceed attendee expectations.
  • Integrate digital experiential elements, such as webinars and live streaming, seamlessly into in-person experiences as appropriate.
  • Partner with internal and external stakeholders for cross-promotional opportunities, including, but not limited to speaking engagements and innovative lead generation event concepts.

Minimum Requirements:

  • Hybrid work schedule after training period. WFH will be dependent upon event needs.
  • 10% travel.
  • Bachelor's degree; and at least 2 + years’ experience in planning events from concept to on-site execution.
  • Superb communication and collaborative skills, thorough understanding of event planning elements.

Desirable Qualifications:

  • Strong collaboration skills and ability to lead group planning discussions.
  • Experience integrating digital elements into live, in-person events, preferred.
  • Strong problem-solving skills and intellectually curious
  • Superb verbal and written communication skills
  • Strong computer skills, including experience with Microsoft Word, Outlook, Excel, and PowerPoint
  • Understanding of event planning components, including Banquet Event Orders and Audiovisual needs
  • High level of maturity, personal initiative, and sound judgment; a proactive self-starter
  • Highly collaborative with co-workers to accomplish tasks, thrives in a team but can also work individually taking tasks from start to finish.
