We are currently seeking a dedicated and versatile Manufacturing Secretary to join our team. This role is essential in maintaining smooth administrative operations, ensuring office cleanliness, managing shipping and handling, and providing support with various manufacturing tasks.

Job Summary: The Manufacturing Secretary will be responsible for handling a variety of administrative duties, maintaining office cleanliness, overseeing shipping and handling of products, and assisting with some manufacturing tasks. The ideal candidate will have strong organizational skills, the ability to multitask, and a proactive approach to their work.

Key Responsibilities:

  1. Administrative Duties:

  • Perform general office administrative tasks, including filing, data entry, and document preparation.

  • Manage incoming and outgoing correspondence, including phone calls and emails.

  • Schedule and coordinate meetings, appointments, and company events.

  • Maintain office supplies inventory and reorder as necessary.

Office Cleaning:

  • Keep the office area clean and organized, including common spaces, workstations, and restrooms.

  • Conduct routine cleaning tasks such as dusting, vacuuming, and sanitizing surfaces.

Shipping and Handling:

  • Prepare and package products for shipment in accordance with company standards.

  • Coordinate with shipping carriers and track shipments to ensure timely delivery.

  • Maintain accurate shipping records and handle related documentation.

Manufacturing Support:

  • Assist with various light manufacturing-related tasks.

  • Provide administrative support to production staff and assist with documentation as needed.

Miscellaneous Duties:

  • Perform additional tasks and special projects as assigned by management.

  • Contribute to the development and maintenance of standard operating procedures.

Qualifications:

  • High school diploma or equivalent; additional training in office administration or a related field is a plus.

  • Prior experience in an administrative role, preferably within a manufacturing environment, is highly desirable.

  • Excellent organizational and multitasking abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic office equipment.

  • Strong communication skills and a professional attitude.

  • Physical capability to perform cleaning tasks and handle packaging materials.

Working Conditions:

  • Primarily office-based with periodic exposure to the manufacturing floor.

  • Ability to lift and carry packages up to 30 lbs.

  • Regular cleaning and organizational duties are required.
