Job Summary: The Director, Human Resources & Faculty Affairs serves as a key leader in the Department of Psychiatry with a reporting relationship to the Director of Administrative Operations (DAO). The Director will function as a member of the leadership team, providing effective strategic planning, effective operationalization, handling, and tactical execution, and evaluation of all administrative and functional aspects of the departmental Human Resources (HR) and Faculty Affairs functions for all members of the department including Faculty, Staff, Trainees, Students, Postdocs, etc. This position maintains confidentiality and requires the alignment and handling of multiple competing priorities while working with multiple stakeholders internally within the Department, the College, and the University, as well as with external stakeholders. Provides operational direction and management of, and serves as the primary departmental resource for information, counseling and coaching regarding all HR and Faculty Affairs activities and matters to include, but not be limited to, recruitment, placement, and separation of employees, job classification and salary administration, salary planning, interpretation and application of HR and Faculty Affairs policies, HR-related and Faculty Affairs-related onboarding and processing, credentialing processing, and employee relations functions in accordance with University and departmental objectives, policies, and processes. Works with various campus offices including Labor and Employee Relations, Access and Equity, Ethics, Conflict of Interest, HR (College and Campus) to resolve matters that may arise. Serves as the HR and Faculty Affairs strategic partner and provides related advisement to the Department Head and the leadership team within the Department of Psychiatry. Provides comprehensive advanced faculty affairs-related support to the Head, the Department P&T Committee Chair, the DAO, and other individuals as directed for a diverse set of activities aligned with the Department’s HR & Faculty Affairs needs. Manages and handles the faculty promotion and tenure process for the Department. Manages and assumes comprehensive responsibility for all departmental Faculty Affairs-related promotions, tenure, awards, and recognition matters including managing the timeline, soliciting confidential letters of recommendation, assembling case files for prospective candidates, and internal faculty promotion cases, and putting cases together for submission to the Dean and College. Presents workshops/training sessions on preparation of the dossier and coordinate faculty affairs/faculty development workshops as needed, including Tenure, Promotion, Post-Tenure Review, Enhanced Post-Tenure Performance Review, and others. Identifies faculty awards, tracks nomination requirements and deadlines, and assists the Head in preparing nomination materials. Advises Department leadership and management on considerations and issues regarding job classifications, salary administration, performance appraisal administration, employee relations and employee training and development; maintains liaison with College and University HR and/or other appropriate offices and departments to respond to HR and Faculty Affairs matters, issues and special requests, and to facilitate related actions. Coordinates and manages recruitment, screening, and interviewing of applicants for departmental positions as indicated; advises management on related departmental duties, organization, and alignments; Interprets HR policy and/or acceptable management practices to ensure fair and consistent application of university policies; develops departmental human resources policies and processes in accordance with established University policy. Advises and assists management, faculty, and staff in the handling of employee relations issues, complaints and/or grievances and determination of appropriate disciplinary actions; represents management at grievance hearings, dismissal conferences and arbitration as indicated. Assesses departmental training needs and develop, conduct, and/or provides training sessions as appropriate for departmental employees. Prepares HR-related and Faculty Affairs-related reports and analyses reflecting progress, trends and appropriate recommendations or conclusions. Ensures maintenance of appropriate Human Resources and Faculty Affairs records. recommends various HR and Faculty Affairs actions including, but not limited to, hiring, performance appraisal, work outcomes, disciplinary actions, scheduling, and reporting. Establishes, approves, and facilitates all related workflows and related processing (Faculty and Staff hires, onboarding, transfers, terminations, offboarding, leaves, Faculty Affairs-related documentation, etc.) Develops and tracks HR and Faculty Affairs metrics and outcomes. Provides regular reports of data and analysis to stakeholders as indicated, including but not limited to compliance, progress to desired outcomes, and training requirements. Advises on employment terms and appointment procedures of faculty as appropriate, and meets with faculty and staff on leaves, benefits, and other HR matters as indicated. Accountable for the management of processing and completion of related documentation, including but not limited to VISA applications, for incoming Post Docs, faculty and staff. Ensures that diversity, equity and inclusion principles are included in HR activities and practices. Communicates and meets regularly with the DAO and/or the Head on HR Matters. People Management: Directs, oversees, and manages the work of the HR staff members by providing supervision, management, and prioritization of tasks, initiatives, and outcomes. Supports staff with mentoring, guidance, job training and career development opportunities, goal setting, and regular performance appraisals. Conducts hiring and promotion assessments and manages issues when necessary. Exceptional integrity, intelligence, maturity, and successful experience navigating complex organizational settings. Ability to work independently in a fast-paced environment, make sound judgments, handle confidential information, multi-task, and be a creative, energetic problem solver. Minimum of 5 years HR experience including, but not limited to, human resources activities, knowledge of human resources policies and procedures necessary to manage the HR functions of a major department or division, or an equivalent combination of relevant education and/or experience. Leadership experience including management and leadership of people and HR functions. Attention to detail and strong computer software skills, including in-depth knowledge of Microsoft Word, Powerpoint, Excel, and other HR-related software. Experience with communication platforms including Zoom and/or Microsoft Teams. Bachelor's degree in a related field. Preferred Qualifications: Experience in an academic medical center and/or university setting with functional, divisional and matrix reporting relationships and shared services models is highly preferred. Experience with HR-related systems such as JDXpert and Cornerstone highly preferred. Master’s degree in a related field highly preferred.
